Job Summary

This position is primarily responsible for providing administrative support for the Department of Rehabilitation Science. This position will also provide administrative support for the Department of Nursing or other SOHNS departments on an as needed basis.

Responsibilities
    Provides administrative assistance for faculty (40%)Answers telephone and greets visitors; provides information and assistance; refers to appropriate personnel.Receives student forms and routes to appropriate personnel or department.Maintains assigned department records.Coordinates registration scheduling for faculty and students.Updates class rolls and faculty rosters.Processes textbook orders.Makes copies.Faxes and scans documents.Maintains office supplies and copier/scanner/printers for the department.Prepares correspondence and memoranda.Makes travel arrangements for faculty and students.Enters class schedules and room assignments.Participate in and record department/program meetings. Assists in the advising process as needed.Maintains, develops, and revises promotional material for department/programs. Attends community promotion events as assigned. Manages applicant and program inquiry data.Assists in the student admissions process for career programs.Communicates with students regarding admission status, program orientations, etc.Assist with program orientations. Assists in the management of budgets.Performs related duties as assigned.

    Works collaboratively to coordinate the provision of computer lab and classroom technology (20%)Coordinates exam schedules.Administers entrance exams or proctors exams as needed.Assists with Brightspace/D2L course structure and materials.Coordinates hardware and software updates.Coordinates the repair and maintenance of computers and peripheral devices.

    Works collaboratively to support program evaluation and accreditation within the department (40%)Coordinates and maintains admission records.Assists in the preparation of a variety of reports, including program evaluation, accreditation reports, graduate surveys, etc. Assists in the management of clinical contact information, clinical affiliation agreements, and student placement data.Receives and manages clinical requirement data from students.Communicate with clinical sites as needed to facilitate the clinical placement process.Maintain clinical site information for student use. Assist in advisory board meetings. Maintain student outcome data.Assists in the management of accreditation data. Performs related duties as assigned.
Required Qualifications
    Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.

Knowledge, Skills, & Abilities
    Knowledge of modern office practices and procedures.Knowledge of university and department policies and procedures.Knowledge of computers and job-related software programs.Skill in prioritizing and organizing work.Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.Skill in oral and written communication.Ability to initiate tasks and work independently in order to complete tasks in a timely manner.
