Job DescriptionResponsible for facilitating the management of the day to day financial and administrative tasks involving grant projects, clinical trials, and research protocols (“projects”). This includes from the initial proposal development process through the project close-out for assigned faculty in the UMKC School of Medicine (SOM) and School of Nursing and Health Studies (SONHS). Responsible for working alongside others in Research Administration to ensure compliance with federal regulations, University policies, and sponsors’ requirements. The position provides research administration responsibilities to the SOM, the SONHS and Truman Medical Centers (TMC). Candidates for this position need to have skills in problem solving, possess organizational skills, and provide great follow-up to faculty, students, medical residents, University staff and other key stake holders at the University and outside the University.
Description of Duties:- Independently creates budgets and other items for grant proposals for SOM and SONHS faculty grant applications and creates project information in the University PeopleSoft System for SOM and SONHS Department approvals.
- Upload and add grant proposal information to sponsor agency’s portal for grant submissions such as www.grants.gov and other sponsors’ web portals.
- Create project folders to maintain grant project, proposal, invoice, grant effort, payroll distribution and grant and researcher information including detailed subcontract information.
- Work collaboratively with other departments including University Compliance and the Office of Research Services to ensure grant proposals are submitted timely and that all grant post-award activities are completed in accordance with University policies.
- Prepare grant project projection worksheets to forecast grant project spending and provide projected project account balance information to project principal investigators.
- Monitor and review project account and project expenses and provide expense reports to project team personnel.
- Prepare additional project reports as requested by project principal investigators and other stakeholders on grant awards, projects, salaries, expenses, and indirect (F&A) transactions.
- Monitor and calculate project effort and payroll distribution for individuals that have effort on projects. Forecast effort to ensure projects are not overspent and ensure compliance with sponsors’ requirements.
- Monitor bi-annual effort verification report (EVR) certification to ensure accurate information is reported and that all staff paid from SOM and SONHS grant awards certify their EVRs in the University system.
- For grant projects that require custom invoicing or detailed project expense reporting or review, prepare grant award invoices for review and submission by the campus Office of Research Services. This includes grant awards with project staff not primarily paid by the University.
- Ability to communicate effectively with project team members to provide detailed information or answer questions on projects.
- Oversees and maintains SOM internal award competition for students such as update website, provide deadline information, award letters, and update SOM website for application deadlines, application materials, and annual progress reports as well as provide project account expense and balance information.
- Work with TMC Office of General Counsel and study sponsors to process project Clinical Trial Agreements, study contracts, Data Use Agreements, Material Transfer Agreements, and Data Sharing contracts to ensure appropriate institutional approvals are obtained.
- Comply with TMC Human Resources, Compliance Department, Office of General Counsel, and Occupational Health Department requirements for TMC onboarding, TMC computer sign-on, complete annual TMC required training, and maintain annual access to TMC facilities.
- Register clinical trials and update research project information to the National Institutes of Health www.ClinicalTrials.gov registration site.
- Serve as an administrator and log-in to Collaborative Institutional Training Initiative (CITI) website to check individuals CITI course training status and save the CITI certificate(s) to faculty and project folders.
A Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.
Preferred QualificationsBachelor’s degree and previous research administration experience or project management experience.

Successful candidates will be highly organized, detail oriented, focused on student success, dedicated to maintaining confidentiality and provide accurate and timely information while maintaining confidentiality.

Full Time/Part TimeFull-Time, Benefit Elgible
Salary$19.47/hr - $22.33/hr commensurate with experience, education and internal equity.
ShiftMonday - Friday, 8 - 5, Hybrid work schedule available.
