Occupational Summary
Manage central department of grants and contracts personnel dedicated to financial post award activities. Performs and coordinates work activities related to billing and reporting for grants and contracts. Manage billing/reporting activities related to meet sponsor requirements and maximize revenue collection.
Work Performed
Manage grants and contracts positions for a large department with a complex portfolio of grants and contracts.
Provide guidance to and supervision of billing teams to ensure invoicing/reporting is processed and submitted within the required billing period and any exceptions are documented and escalated, if necessary. Serve as subject matter expert to University departments/units regarding sponsored research billing/reporting regulations.
Liaise and coordinate between management centers, departments and other stakeholders to address questions or issues regarding sponsor reporting/billing.
Possess and maintain an operational understanding of emerging payment technologies/processes associated with sponsor invoicing gateways.
Plan, coordinate and perform a variety of routine and complex analysis activities to ensure accurate maintenance of the monthly invoicing and reporting workload. Assign tasks and responsibilities.
Provide final review and approval of invoices, letter of credit draws, financial reports, billings, and property reports to granting agencies/sponsors on a timely basis as required by contractual agreements.
Utilize technology to consistently track and monitor staff workload and performance to identify any opportunities for additional training or intervention
Use performance metrics and reports to ensure consistently strong performance by assigned teams and overall performance in line with service level expectations.
Review activities to identify problems and irregularities and recommend modifications to procedures for optimal efficiency.
Prepare reports and analyses for workload statistics highlighting trends and variances. Provide appropriate recommendations or conclusions.
Engage in continuous process improvement to facilitate growth and professional development of assigned team members.
Provide training to central unit/department staff.
Maintain knowledge of external regulatory requirements to ensure compliance.
Possess thorough knowledge of procedures. Develop, document, and maintain these procedures in training manuals.
Promote teamwork and a positive working environment to achieve department goals.
Perform other related duties incidental to the job described herein.

Minimum Qualifications
Education
Work requires communications, analytical and organizational skills generally acquired through completion of a bachelor's degree program. Research or grants education and/or certification is preferred. Training: Successful completion of required department training such as GC101& 201 Introduction to Research, FinancialServices Introduction to R3, Introduction to Duke GL, Introduction to Accounting, Sponsored Research Reporting, Research Administration at Duke (on-line), Basic Compliance (on-line) within first six months of hire is required. Successful completion of the Research Administration Academy (RAA), Advanced Grants Management, and Research Administration Institute (RAI) training is required. Employees hired into this classification without the expected credentials will work closely with their manager to schedule and complete all training (12 months for RAA and an additional 6 months for AGM). Successful completion of all expected training will be an annual performance goal until complete. Upon successful completion of expected training, the employee must maintain Research Administration Academy (RAA) certification and Advanced Grants Management (AGM) certification by completing continuing education requirements. Certified Research Administrator (CRA) certification is preferred.
Experience
Work generally requires five years of relevant grants and contracts experience.

Organization
Duke University was created in 1924 by James Buchanan Duke as a memorial to his father, Washington Duke. The Dukes, a Durham family that built a worldwide financial empire in the manufacture of tobacco products and developed electricity production in the Carolinas, long had been interested in Trinity College. Trinity traced its roots to 1838 in nearby Randolph County when local Methodist and Quaker communities opened Union Institute. The school, then named Trinity College, moved to Durham in 1892, where Benjamin Newton Duke served as a primary benefactor and link with the Duke family until his death in 1929. In December 1924, the provisions of indenture by Benjamin’s brother, James B. Duke, created the family philanthropic foundation, The Duke Endowment, which provided for the expansion of Trinity College into Duke University.
As a result of the Duke gift, Trinity underwent both physical and academic expansion. The original Durham campus became known as East Campus when it was rebuilt in stately Georgian architecture. West Campus, Gothic in style and dominated by the soaring 210-foot tower of Duke Chapel, opened in 1930. East Campus served as home of the Woman's College of Duke University until 1972, when the men's and women's undergraduate colleges merged. Both men and women undergraduates now enroll in either the Trinity College of Arts & Sciences or the Pratt School of Engineering. In 1995, East Campus became the home for all first-year students.
