Job Summary

in this key Executive Assistant role, you will provide day-to-day support to the university’s Chief Information Officer with high level administrative tasks and projects. You will interact with a variety of stakeholders and situations and will use your attention to detail and outstanding problem solving, analytical, and interpersonal skills to manage the requirements and commitments of the CIO. The ideal candidate will have a passion for learning and diving deep into operational activities including procurement, financial/budget management, and contract management.

Because of the fast-paced environment, you’ll need to be able to effectively prioritize, and be flexible when handling multiple deadlines and deliverables.

Responsibilities include:

  • Manages executive’s calendar and schedules using MS Outlook
  • Plans and schedules meetings as needed including conference room/venue booking, travel arrangements, food and beverage ordering, and AV equipment coordination
  • Arranges travel with the ability to execute last minute changes, including developing itineraries and agendas, booking transportation, arranging lodging, and coordinating onsite and offsite meeting accommodations
  • Prepares presentations, emails, memos, and other written communication pieces
  • Manages a variety of special projects
  • Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion.
  • Supports departmental purchasing and contracting needs
  • Coordinates numerous departmental budgets including E&G, reserves, and instructional technology budgets
  • Collaborating with states system counterparts on procurement management, contract reviews, request for proposals, compliance, audit, right to know requests and litigation issues.
Minimum Qualifications

  • Bachelor’s Degree in Business Administration, Accounting or related field or equivalent work experience
  • Ability to handle confidential information and exercise sound judgement
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint).
  • Excellent communication skills both verbal and written
  • Very strong interpersonal skills and the ability to build relationships
  • Forward looking thinker, who actively seeks opportunities and proposes solutions
  • Significant experience with at least one of the following
      ProcurementContract ManagementBudget Management

  • Accounting Experience

Comprising five colleges - Visual and Performing Arts, Business, Education, Liberal Arts and Sciences, and Graduate Studies - Kutztown University offers a diverse range of excellent academic programs to prepare individuals for successful careers.

Located on 325 acres in Kutztown (population:4,500), the university is 20 miles from both Reading and Allentown, 90 miles from Philadelphia and 100 miles from New York City. LVI International Airport is 25 minutes from campus. The campus is in a beautiful rural Pennsylvania Dutch community, an easy walk from the borough of Kutztown which has ample stores and shops to meet the needs of students.

Currently, 10,193 students are enrolled at the university from 26 states and 51 nations. About half of the undergraduates live in residence halls; the rest live at home or in nearby apartments. A well-rounded program of athletic, cultural, and social events and activities satisfies nearly every taste.
