Overview

Applications are being accepted for a full-time Administrative Assistant-General Education at Moraine Park Technical College, Fond du Lac Campus.  This position will provide administrative support and technical assistance to the General Education work teams.

 

Applications will be accepted until the position is filled; however, initial review of applicants will take place May 13, 2022.

 

Beginning: Immediately

Responsibilities1. Coordinate the communication of information to the General Education work team related to monthly work team meetings, implementation of professional model scheduling and course assignment.  Coordinate communication to advisory committees, task forces and cross functional teams within General Education.  Provide information about MPTC and general education to students and the general public.  Identify the appropriate resources/services necessary for referrals related to monthly work team meetings, implementation of professional model scheduling and course assignments.  2. Coordinate with District work teams to prepare and process course setup, adjunct course instruction agreements, and room scheduling associated with course setup for General Education. Verify and process contract and adjunct payroll records.  Analyze enrollment data; make recommendations regarding cancellation and wait lists. Respond to override requests from students, faculty and registration staff.  Communicate requirements and/or additional documentation needed to students and staff.3. Coordinate with Student Services, Registrar’s Office, Programming and Design Office and Customer Communications Team and Office Services concerning course descriptions, brochure and catalog updates.    4. Utilize software and computer systems including functions such as course outcome summaries, payroll, state reporting, workloads, electronic calendaring, e-mail, and student and class information.5. Initiate and coordinate the book and module order process with Bookstore and publishers.  Identify common texts for multiple sections, project quantities, generate orders and obtain and disseminate information and instructor copies to users to ensure an adequate supply of texts and instructor preparedness.  Order science supplies for the science labs and classrooms district-wide.  6. Coordinate preparation of work team budget including preparation materials for Associate Dean.  Compile and enter budget.  Assist with facilitation of budget process.  Verify coding and figures on expense vouchers, purchase requisitions, mileage reports, and other district forms. Assist in coordination of and payment for arrangements related to international travel and insurance.   7. Coordinate new employee orientation process.  Collect and submit contract and adjunct faculty new hire paperwork, payroll records, update adjunct faculty database, course instruction agreements and assist with new adjunct faculty employee orientation.  Coordinate the communication with adjunct faculty regarding general education, general college, College 101 and Career Development courses.8. Coordinate and communicate with Student Affairs on course cancellations and additions, student issues, student orientation and other program related information.  9. Train and assign work to work study student(s) and temporary staff.  Provide back up support to other Academic Administrative Assistants and perform other duties as assigned.

 

Qualifications1. Associate Degree in a related field required; Bachelor’s Degree preferred2. Three years of related work experience.3. Any combination of equivalent training and experience which provides desired knowledge, skills and abilities. 4. Excellent written and verbal communication skills. Ability to communicate professionally in a variety of modes including instant messaging, email, written text and verbal.  Knowledge of and experience with internet-based meeting preferred.  5. Ability to work with and produce detailed information, statistics and data for reports.  Ability to compose memos, agendas, minutes, presentations, and other related correspondence.    6. Thorough knowledge of database operations and educational software applications.  Experience with Enterprise Resource Planning Systems/student administration systems preferred. Ability to develop, query and generate reports preferred. 7. Ability to establish and maintain effective working relationships with internal and external customers.  Ability to collaborate and work effectively as part of a team.  Ability to assign work and train staff.8. Ability to maintain confidentiality.  Knowledge of the Family Education Rights and Privacy Act (FERPA) preferred.  9. Willingness to take initiative, work independently with little supervision and make decisions with minimum direction.  Must demonstrate strong organizational and time management skills with the ability to prioritize special projects with routine assignments.  Ability to adapt to changes and interruptions in the daily work.  Ability to exercise individual initiative, independent action and sound judgment.10. Strong problem-solving skills to include accuracy and attention to detail.  Must demonstrate ability to capture essential issues, suggest solutions and provide research and follow-through.  11. Knowledge of accounting methods and procedures.  Experience with budget preparation and tracking preferred. 12. Demonstrated ability to work effectively with diverse populations by promoting and maintaining an inclusive work environment and culture that is respectful and accepting of diversity.
