WORLD: The David and Leighan Rinker Center is seeking a part-time (20 hours per week), temporary administrative assistant to support the center and the Director of International Learning. This person will assist the WORLD Center in providing support for international student and scholar services and study abroad at Stetson University. This position requires skills in communication, listening, compassion, organization, efficiency, and navigation of technology systems.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:

  • Manages WORLD: The David and Leighan Rinker Center for International Learning visitors and phone line by assisting visitors/callers directly with their concerns whenever possible, directing to the appropriate person/office within the university; providing them with excellent customer service.
  • Assists in promoting a welcoming space and climate that prioritizes an inclusion and student success mindset. Utilizes advanced listening skills and competency around diversity, equity, and inclusion. Assists with traffic flow in the office suite, including helping with meetings for the Director of International Learning.
  • Manages schedules, reserves space, and prepares for larger meetings as needed.
  • Provides email notifications for announcements and important due dates
  • Manage WORLD’s general email account, responding directly or forwarding to the appropriate person/office
  • Reconciles budget statements and credit card purchases. Liaisons with purchasing office and outside vendors.
  • Keep track and process study abroad payments, travel reimbursements, cash advances, and payments for faculty-led study abroad programs and WORLD Class Travel Awards
  • Manages data input such as inputting exchange student data into Banner, processing study abroad scholarships, and keeping program pages updated in Terra Dotta (study abroad software)
  • Assist with international student and scholar support when needed, such as organizing immigration paperwork and connecting students and scholars to campus resources
  • Assists with projects as needed for Director of International Learning and for WORLD: The David and Leighan Rinker Center for International Learning
  • Works to improve overall efficiency within the office
  • Performs other site and position specific functions as assigned

Minimum Education: HS Diploma; some college preferred

Required Skills
  • Desire to work within a fast-paced team to help administratively support the Center for International Learning advocate for international students, study abroad, and campus internationalization
  • Passion for student success and development
  • Advanced technology skills (Word, Excel); desire to learn new systems and processes such as Banner and Terra Dotta
  • Advanced listening and customer service skills
  • Team player, positive outlook, patient and strong interpersonal skills
  • Ability to maintain confidential files and information
Required Experience
  • High school graduate with some college experience preferred
