Job Responsibilities:

The Citadel, The Military College of South Carolina is seeking an Administrative Assistant to the Dean of Baker School of Business. This person provides paraprofessional support to the Dean of The Citadel School of Business Administration. Manages the Dean’s calendar and schedule. Serves as Dean’s liaison between the Dean, faculty, staff, and outside stakeholders and as Dean’s lead representative in ensuring projects are completed accurately and in a timely manner. Supports a large Advisory Board of active and retired senior executives and assist with meetings. In addition, the successful candidate will be responsible for the following:

  • Purchasing marketing materials for department.
  • Process all departmental invoices, reimbursements, fund requests, expense reports, faculty and student awards, entertainment expenses, etc. in Banner systems; provides account fund transfers as needed.
  • Attends Resource Advisor meetings and training as required.
  • Will be in charge of Advisory Board Meetings and Committee Meetings; planning pre-meeting dinner, assisting in travel arrangements (as needed), planning menus for meeting date. Acquiring and pre-set of any presentations (Power Point or Paper Copies). Providing meeting packets, ordering board gifts, keeping attendance and meeting minutes, ordering nameplates and badges for new members.
  • Work directly with the CSB Advisory Board as a liaison to the Dean. Keeps track of board monetary gifts, terms of service, attendance, participation in various events and maintain updated directory, contact information and bio of all board members.
  • Directs correspondence with important dates for the board members.
  • Other duties as assigned by the Dean

Minimum Qualifications:

A high school diploma and at least eight (8) years of experience working as an Executive Administrative Assistant OR a Bachelor's degree and at least five (5) years of work as an Executive Administrative Assistant.

Must have excellent written and oral communication skills; ability to perform multiple tasks and to determine priorities; ability to manage complex and diversified duties requiring sound judgment, ability and efficiency. Must have the ability to establish and maintain positive relationships with school-wide associates, national and state VIP’s and the general public.

Must be dependable and self-motivating; must be flexible and able to meet deadlines. The ability to protect confidential information is essential. Must be proficient in Microsoft Office Suites.

Preferred Qualifications:

Experience with Banner software and experience with executive advisory boards are preferred.
