Butler University is looking for a full-time experienced Business Services Coordinator for its Operations Division. The Butler University Operations Division partners with members of the community to provide high quality and cost-effective planning, design, construction, project management, maintenance, custodial, grounds, event setup and environmental health and safety services.
As a Business Services Coordinator you will be responsible for:
Managing and controlling the campus inventory for Maintenance Services
Providing accounting support to all of Operations (A/R, A/P, POs, JVs, etc.)
Serving as the Operations Procurement Card Manager
JOB REQUIREMENTS
Responsibilities and Essential Duties Include:
Receive and control inventory for the Maintenance Services stockrooms
Ensures inventory purchasing is done in a cost effective manner, while still meeting the Operational needs
Work with the Administrative Specialist to ensure full use of the work order system
Complete and send requisitions to Purchasing for all departments within Operations
Process payment requests to the Business Office for all departments within Operations
Processes JV’s and deposits for all departments within Operations
Serves as a back-up to the Administrative Specialist and Student Assistants in managing the front desk. This includes, but is not limited to, answering the phone, checking out keys, processing work orders, and ensuring a high level of customer service in Operations.
Provides reports to the Leadership Team and Business Office regarding budgets
Unloads Freight Trucks as needed
Performs other related projects and assignments as needed.
Maintains approved buyers list with vendors and collects Certificates of Insurance as needed
Works with the University and HR on managing insurance claims and annual renewals
QUALIFICATIONS
High School Diploma
Account reconciliation experience
Must be proficient with Excel spreadsheets
Familiarity with “just-in-time” ordering system is preferred
Working knowledge of TMA work order system and PeopleSoft accounting system is desired
Must have a valid Indiana driver’s license and good driving record
