Job Summary
Responsible for managing/overseeing the administrative operations, functions, and calendar for the Office of the Senior Vice President/Chief Operating Officer of UCSF Health, inclusive of, but not limited to HR, IT, facilities, payroll, agreements/contracts, system-wide events, communications. Responsible for comprehensive administrative, analytical data/reporting, and written communications support for all areas of responsibility under the COO. Responsible for COO leadership meeting agenda captures and documents decisions, and action items providing follow-up as needed. Manages COO direct reports performance evaluations process. Understands budgets/ financial systems/tools. Supports COOs and their teams’ diversity, equity, inclusion, and belonging initiatives. Represents UCSF Health and COO in interactions with senior leaders, affiliates, faculty, staff, patients, public, as well as city, state, national, and other external affiliates and agencies. Possesses a full understanding of the scope of management/support responsibilities, and is responsible for complex calendars, assignments, and requests where excellent judgment is required to resolve conflicts, issues/problems, and provide solutions and/or recommendations. Provides consultation on administration issues with associated departments and facilitates interdepartmental coordination.

Must be proactive, highly organized, confidential/discrete, and resourceful. Must be able/willing to work on-site as part of senior leadership’s administration team. Responsible for hiring and management of professional administrative staff in various departments. Reports to the Director of Operations and Implementation.

Required Qualifications
  • Bachelor's degree in a related area and/or equivalent experience/training.
  • Ten or more years of progressively responsible executive-level assistant experience.  
  • Four or more years of project management/leadership experience.  
  • Advanced interpersonal communication skills including verbal and written, active listening, critical thinking, persuasiveness, advising, and counseling.
  • Skills in organization and customer service to effectively manage multiple important priorities. Proven ability to organize department work functions in an efficient and effective manner.
  • Broad knowledge of common organization-specific and other computer application programs (EA Microsoft Office Suite, Outlook, Word, Excel, PowerPoint, and Visio).
  • Skills to work collaboratively with other teams and locations.
  • Proven skills in quickly evaluating complex issues and identifying multiple options for resolution.
  • Professional confidentiality and discretion.

Preferred Qualifications
  • One or more years of management/supervisory experience 
  • Demonstrated management and conflict resolution skills to lead and motivate effectively.
  • Broad knowledge of the organization's processes, protocols, and procedures.

Department Description
The UCSF Health Office of the SVP/COO (COO) oversees the system’s clinical services, facilities, and support services, supply chain and support services, pharmaceutical services, perioperative services, nursing, real estate, and major construction projects. The COO works closely with the Faculty Practice Office (FPO) physician governance structure to ensure that department chairs and faculty are fully engaged in both clinical planning and advanced clinical resource management activities, along with managed care administration. In addition, the COO works to align internal and external growth and supports the deployment of resources to priority partnerships and affiliates.
