The Department of Health Systems and Population Health has an excellent opportunity for a Communications and Administrative Specialist. The Communications and Administrative Specialist will provide communications and administrative support for the new Center for Anti-Racism and Community Health (ARCH). This position will have responsibility for planning, w0riting, editing, and coordinating communications about the ARCH Center’s programs and accomplishments, and will also perform critical administrative activities to ensure the successful operation of the ARCH Center.

This position will ensure the successful development and implementation of the ARCH Center’s communication plans through collaboration with community partners and implementing effective marketing, media, and public relations strategies. This Communications and Administrative Specialist will report to the ARCH Center Operations Manager and will work with affiliated faculty, staff, students, and community partners to actualize the ARCH mission of advancing system- and community-level approaches for disrupting and repairing the impacts of structural racism in public health and healthcare. Additionally, this position will coordinate and set meeting schedules, agendas, and minutes, and will be responsible for tracking incoming communications, responses, and developing reports for ARCH Center staff.

The Communications and Administrative Specialist must be adept at applying anti-racism principles in: professional and social media communication; critical thinking and strategic planning; shared decision-making; strategic alignment with school and university priorities and opportunities; navigating complex systems; operating in collaborative work relationships; subscribing to shared governance approaches; engaging others representing diverse groups and communities with respect, empathy, and cultural humility; and upholding the highest ethical professional standards.

Housed in the UW School of Public Health, HSPop is a dynamic academic and research department with the mission of working with partners in public health and health care to prepare leaders, design solutions, and conduct innovative research that is translated into practice and policy. The Department is steadfast in its efforts to improve and promote the health of all populations, and staff contribute daily and directly to the work of faculty, students, researchers and other staff, providing support and expertise to the Department's common cause.

Responsibilities:

Marketing and Communications: Coordinate marketing and communications, as well as public relations, to inform and excite interest about the ARCH Center programs and accomplishments. In consultation with project leads, community partners, and other stakeholders, contribute to strategic communication plans for ARCH-sponsored projects that include concrete timelines, goals, and work plans. Develop and implement the ARCH Center’s branding strategy and develop protocols to ensure alignment across all communications. Create and maintain style guides and other editorial materials.

Day-to-day administrative support for the ARCH Center Director and center staff, including scheduling and meeting coordination, assisting with strategic planning, budgets, purchasing, file management, and logistics of the ARCH Center. Provide administrative support for meetings and communication with internal and external community partners and potential partners, including, but not limited to, faculty, scholars, staff, students, alumni, higher education institutions, healthcare systems, professional associations, government agencies, non-profit organizations.

General Communications and Content Creation: Coordinate regular communications meetings with the ARCH Center team to project and plan yearly, quarterly, and frequent communications production. Manage all aspects of the ARCH Center email listserv. Draft and send periodic, customized email updates to advisory bodies, community partners, faculty, and other stakeholders. Produce regular ARCH Center newsletters, including soliciting, coordinating, editing, and distributing content. Coordinate any print or other media communications by the ARCH Center.

Fundraising and Grants: Provide administrative support for advancement efforts which may include assisting with presentations that promote the ARCH Center, scheduling meetings with individuals and organizations providing philanthropic sponsorship, and contributing to grant proposal submissions, tracking, and reporting.

Website Content and Social Media Communications: Manage the ARCH Center website content and social media presence, including, writing, editing, and publishing. Publish online articles, formatting text, images, and hyperlinks, including looking for and editing appropriate images, creating an article summary, and adding metadata. Edit writing by students, staff, faculty, and other contributors, providing feedback and coordinating revisions to finalize writing products.

Website Development & Maintenance: Build new pages, features, and functions for the ARCH Center website. Monitor changes to and updates to ARCH Center website platform and plugins. Monitor site traffic, creating monthly and yearly analytics reports, flagging spam data and creating filters to eliminate spam. Work with SPH and UW technical staff to manage technical aspects of the ARCH Center website.

Editorial and Design Support: Produce periodic flyers and posters that communicate the ARCH Center and partner programs and accomplishments. Ensure accessibility of the ARCH Center digital materials, for example by ensuring images include descriptive captions or alt text.

Media Relations: Draft media advisories, press releases, and coordinate press outreach regarding ARCH Center activities. Build relationships with press and community contacts to promote and disseminate ARCH Center news. Coordinate with SPH and UW marketing and communications staff.

Attend school, university, and community meetings/events that relate to the mission and purpose of the ARCH Center and HSPop, to ensure alignment of ARCH communications and messaging with broader community and stakeholders. Represent the ARCH Center at local, regional, and national meetings/events when required.

Requirements:

  • Bachelor’s Degree in Fields or disciplines related to communications or marketing.
  • At least two years in marketing and communications or equivalent experience
  • Knowledge about anti-racism, diversity, equity, and inclusion, including fundamental topics, concepts, principles, and approaches and ability to effectively communicate and advance these ideas in written and verbal formats.
  • Demonstrated ability to multitask and prioritize tasks effectively to meet deadlines.
  • Ability to work independently with minimal supervision.
  • Excellent written and verbal communication skills. Demonstrated skills in writing and editing, such as experience writing articles or promotional materials for publication for both professional and general audiences.
  • Experience translating complex information into accessible content.
  • Experience planning and implementing website and social media communications.
  • Experience contributing to communication strategies, such as developing key messages, media advisories, press releases, and contacting media representatives.
  • Proficient in scheduling meetings using calendar and scheduling applications. Demonstrated proficiency with Microsoft Office applications (Outlook, Excel, Word, PowerPoint, Share Point), Zoom and other teleconferencing technologies, Adobe reader, WordPress and website content maintenance, and database management and electronic methods to collect data. Comfort in learning and using technology and technological applications to participate in project management, event management, cloud sharing, and more

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    Desirable Qualifications:

  • Prior experience in the development or communication of diversity, equity, and inclusion (DEI), anti-racism, anti-oppression strategies/initiatives to promote health and well-being in organizational and community contexts. Understanding of principles and approaches for community-organizing and experience with implementation in partnership with communities of color.
  • Experience collaborating with diverse constituents from underrepresented, and/or historically excluded groups and communities to promote initiatives grounded in anti-racism principles. Ability to interact respectfully, empathetically, and with cultural humility when engaging with persons of diverse backgrounds and at all levels of the university and external community groups.
  • Experience developing and administering websites.
  • Experience contributing to grant proposal submissions, tracking, and reporting.
  • Experience producing and ensuring accessibility of graphics, flyers, posters, and digital materials.
  • Experience with effective employment of project management tools and software.
  • Proven ability to handle sensitive situations and information with tact, discretion, and diplomacy.
  • Demonstrated effectiveness navigating in a culture of change, uncertainty, and transition

    Working Environmental Conditions:

    The Communications and Administrative Specialist may occasionally work during evenings and weekends when necessary to meet deadlines. This position is eligible for a hybrid telework arrangement, which may include an ongoing, regular remote work arrangement in addition to reporting onsite. The University’s Seattle campus will remain the official work location. All telework, remote, and hybrid working arrangements are subject to UW, School of Public Health, and HSPop policies.
