Position Description

Under the direction of the Associate Provost & Dean of Admissions, the Senior Associate Director of Admissions Operations develops and oversees admissions systems, evaluation of applications and transfer credit, application processing, procedures, and work flows specific to inquiry management and the processing of Undergraduate Admissions applications and supporting documents. Undergraduate Admissions lead in the ongoing usage of the CRM to achieve enrollment objectives. Serves as the designated point person for undergraduate admissions on technical matters related to the Customer Relationship Management (CRM) and Enterprise Resource Planning (ERP) systems

Responsible for training and supporting internal staff on processing procedures, including trouble shooting, problem solving and scheduling additional assistance in order to meet deadlines and keep our processing timelines on track.

Essential Job Functions

Systems Operations Management and Supervisor- 40%

Serves as the primary contact on technical matters involving the CRM, ERP and Imaging System as they relate to UG Admissions. Manages individual system account access and provides relevant CRM training to Admissions staff and any campus partners involved in the Admissions process. UG Admissions lead in the ongoing usage of the CRM to achieve enrollment objectives.

Manages daily operations as they pertain to Operations Staff and execution of internal admissions processes, including application updates, record entry, and integration with outside vendors, including the Common Application and Technolutions Slate.

In collaboration with IT, responsible for testing and auditing internal applications, scholarship assignment, student records and admissions decisions for accuracy and completeness. Works closely with colleagues within the Enrollment Services Division to create procedures for a seamless transition between applicant stages to matriculation.

Supervises and supports six Admissions staff members and coordinates necessary coverage to meet all processing timelines.

Serves as liaison between Undergraduate Admissions and the Office of Information Technology, Institutional Research, and the Registrar’s office.

Admission Evaluation 40%

Oversees the evaluations team, consisting of three evaluators who are responsible for the screening of admissions applications for prerequisite coursework, evaluating and articulating transfer coursework.

Provides guidance, training, and oversight for complex evaluation and articulation questions. Stays up-to-date on current trends in managing transfer credit, mapping coursework to curriculum, and means for better communicating the complex requirements transfer students must meet when enrolling at Seattle University.

Coordinates and liaises with academic programs, the Registrar’s Office, and other campus units that have a stake in course evaluation and articulation. The Senior Associate will lead problem solving oriented discussions focused on better access for transfer students.

Leads the management of all technology related to evaluation and articulation including the Slate CRM, Colleague ERP, TES, and related systems.

New Student Processes : 10%

Is a key collaborator in assisting Orientation Programs and other campus units involved with orienting new students to Seattle University. Collaboration includes managing new student checklists, providing data links and integrations with related systems, and collaborating in the development of outstanding enrollment processes for new students.

Admissions Review and Counseling: 10%

Evaluates applications, interviews students, handles ongoing telephone and e-mail communications; plans and manages own extensive domestic and international fall travel schedule as part of freshman and international recruitment outreach.

Marginal Job Functions Participates in Admissions Office planning and on-campus recruitment activities. Other duties as assigned.

Qualifications

Bachelor’s degree in a relevant field and three years undergraduate admissions experience or an equivalent combination of education and experience sufficient to perform the essential duties of the job.

Experience with systems operations, database management and process development related to ERP, CRM and SIS systems.

Knowledge of the practices, procedures, and activities of the admissions office and the systems that support that work.

Ability to use initiative and resourcefulness in planning work assignments and implement program improvements.

Excellent organizational and leadership skills, superior oral and written communications skills are a must.

Experience documenting, analyzing and flowcharting business processes, ideally recruitment and enrollment projects, in a project management environment.

Experience with Technolutions Slate is preferred.
