Job Description:The College of Liberal Arts and Sciences (CLAS) Research Office is accepting applications for a Fiscal Assistant II position. The Fiscal Assistant II provides fiscal support in the CLAS Research Office (CLAS RO). Responsible for complex calculations, collection, or verification of financial data, and processing of account transactions. Functions with some independent responsibility for accounting or budgetary tasks within an office or provides higher level support within a large accounting environment. Adheres to University financial policy and procedures. This position serves departments and colleges by providing support in monitoring, processing, reviewing, and/or approving transactional activities relating to the fiscal and sponsored project's processes, and may be involved in human resources and commitment accounting processes. In addition, this position is responsible for building relationships with units served by the CLAS Research Office and university constituents, and supporting a culture centered on delivering excellent customer service.

Duties and responsibilities include but are not limited to:

    Processes, reviews, and/or approves transactions in the CLAS Research Office. Responsible for monitoring, reviewing, and approving transactions submitted in myUFL to the unit client. Processes complex transactions in myUFL; and may approve and/or reconcile other various transactions in myUFL.
    Works closely as an integral member of the CLAS Research Office, reviews fiscal transactions charged to sponsored programs funding to ensure they are compliant with the specifications of the award, the project, and with University, State, and Federal policies and guidelines as appropriate. Reviews myInvestigator, UFIRST, Commitment Control, NOAs, and other relevant modules or documents to verify expenditures are in compliance. Reviews and prepares all vouchers and journal entries for accuracy. Processes and provides oversight for travel authorizations, expense reports, and cash advances.Process Analysis and Account Reconciliations. Reviews, analyzes, and reconciles sponsored research accounts in the CLAS RO Reviews expenditures, balances, and transactional detail. Monitors and reviews processes with the CLAS RO team and initiate modifications as appropriate. Researches operational problems and errors and recommends/implements solutions in a timely manner. Actively addresses issues and presents customer feedback to CLAS RO team. Works with CLAS RO team members to keep abreast of regulatory, compliance, process, enterprise system upgrades and technology changes. Interprets federal and state laws; UF policies, procedures, and regulations; and college policies relating to fiscal and human resources transactions. Takes an active leadership role in identifying appropriate methods for resolving department needs. Assist in developing processes for CLAS RO. Assists in the supervision of undergraduate student activities.Maintains effective business relationships with college and university core offices. Serves as liaison between the unit and Purchasing Services, Disbursement Services, General Accounting, and Contracts and Grants at times Payroll. May attend college and university meetings for management personnel to ensure the Department’s understanding of and compliance with rules and regulations. Guides Unit Managers on Record Retention policies and procedures for fiscal transactions within the department. Responsible for training departmental staff. Others duties as assigned.
Advertised Salary:

The salary range is $18.00 - $20.00 per hour, commensurate with qualifications and experience.

Minimum Requirements:High school diploma or equivalent and three years of general accounts transaction experience. Appropriate college course work or vocational/technical training may substitute at an equivalent rate for the required experience.

Knowledge of myUFL as it relates to human resource transactions, payroll, travel, grants, all fiscal functions, account reconciliations, and monthly budgetary reporting

Ability to organize, manage, and multitask a fast-paced environment

Proficient in MS Office including Word, Excel, and PowerPoint

Knowledgeable of and experience with university and state regulations regarding fiscal, budget, grants, and human resource matters.
