Position Information:

Under general supervision, provides administrative support to a program by developing, coordinating, and facilitating the program activities, attending meetings, preparing reports, recruiting for the program, collecting and analyzing data, prioritizing tasks, preparing grants, distributing information, and performing accounting duties for the program.

 

Essential Duties:

    Develops and maintains program organizational systems and processes.Maintains program event schedule and prepares for events.Facilitates program events and monitors event progression.Serves as centralized communication lead for program.Researches and synthesizes information pertinent to program, project, and grant funding opportunities.Collects and manages data and documentation relevant to the program or project. Attends meetings and may act as the facilitator, including preparing agendas, taking minutes, etc. Prepares and compiles reports on status of the program, project, grant, or contract.Performs analyses to determine needed services, funds, and volunteers.Collaborates with programs, colleges, offices, vendors, and other personnel.Prioritizes duties from needs assessment data or other resources. Makes adjustments in order to meet goals.Assists in the preparation of grants or contracts and ensures accuracy.Distributes information to staff and others.Answers questions about the program or project.Reconciles accounts, purchases with ProCard, and enters and approves vouchers. Reconciles grant budget(s).Supports recruitment, interviewing, and onboarding for program. Maintains training records as needed.Performs various duties as needed to successfully fulfill the function of the position.

Working Conditions:

    Physical: Must be able to work in sitting and standing position, use computer, move freely around the campus, and answer telephone.Environmental: Standard office work with program-based environments.
 

Experience:

    Required: 48 months experience coordinating a large program, project, or grant or contract program.
 

Education:

    Required: Bachelor's degree. Equivalent/ Substitution: Will accept 48 months experience in lieu of a Bachelor's degree for a total of 96 months experience.
 

Knowledge, Skills & Abilities:

    Comfortable working in collaborative, team-based environment with emphasis on open communication and cross-training. Proficient with Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel). Comfortable with Office365 Suite (SharePoint, OneDrive, Teams).Ability to creatively manage shifting responsibilities. Ability to creatively problem-solve.Open-minded and flexible, desire to learn new skills.Advanced organization skills and attention to detail.Ability to communicate verbally and in writing to a wide range of audiences.Ability to adapt to dynamic situations.Comfortable creating and leading groups and committees.Working knowledge of pre-award grant submission process and federal application requirements.
