Job Description

This position will work in the College of Engineering, Informatics, and Applied Sciences and provide support by assisting in the creation and/or maintenance and coordination for the graduate application process of one or more academic programs within CEIAS. This position will be supporting the implementation of outreach and admissions efforts for prospective students by contributing to effective graduate enrollment and course registration management, ensuring students' satisfaction with admission and course registration services, and serve as a first point of contact for prospective students as they move through the graduate application and admissions processes.

The position also performs functions critical for maintaining operational excellence and assists the Department Chairs and Directors to ensure the implementation of policies and practices, and assists in conducting oversight, review, and analysis of the effectiveness and compliance of the program(s). The position requires administrative skills, commitment to the college, cross-cultural knowledge, and some curriculum expertise in the programs they serve.

This position requires a high level of contact with current and potential graduate students, faculty, staff, and affiliated constituents, as well as application of independent judgement, analytical, and problem-solving skills to manage daily administrative tasks for which they are accountable.

Essential Functions

Enrollment Support - 40%

Supervise processing of graduate applications.
  • Develop effective processes for processing graduate applications.
  • Support students through the process of applying.
  • First point of contact for all graduate students to answer questions, trouble shoot, and provide excellent service.
  • Provide pre-enrollment recruiting and question answering support.
  • Work with CIE to address student immigration questions and problems.
  • Using the College Net Apply Web Tools, maintain application records for over 1,000 applications per cycle.
  • Use Peoplesoft for information and application maintenance such as academic test records.
  • Work with Graduate Admissions to maintain and change applications annually per the direction of the department, graduate college, policy changes, etc in conjunction with all graduate programs within CEIAS.
  • Work with all graduate program staff within CEIAS to streamline processes, communication tools and information dissemination to prospective students (applicants) as well as with current students.
  • Communicate extensively with applicants regarding the status of the application, timeline, possible funding opportunities all the way through to admissions or denied admissions. After that, communicated with new students about international polices and pre-advising enrollment.

Recruitment Support - 15%
  • Oversee program marketing and measure its effectiveness, in partnership with NAU's marketing department.
  • Work with CIE to organize overseas recruiting trips to target markets.

Administrative Support - 25%
  • Manage scheduling of graduate courses.
  • Document student feedback on graduate courses and partner with SICCS Directors to monitor and improve program quality.
  • Service enrolled graduate student questions and concerns including academic advising.
  • Support summer hiring and academic year GTA and GRA contract preparation (follow up with faculty to prepare documents for OGEI service teams.

Program Support - 20%
  • Management of graduate student research and teaching assistantship positions that link a graduate student's studies with their employment and their advisor's research program.
  • Evaluation of qualifications of graduate students to deliver instruction in the capacity of teaching assistants on specific informatics, computing, and engineering topics.
  • Collecting and evaluating graduate student progression data, as well as follow-up with post-graduation job placement statistics.


Minimum Qualifications

  • Bachelor's degree in relevant field.
  • 2 - 4 years of relevant experience.
  • Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.


Knowledge, Skills, & Abilities

  • Knowledge of rules, regulations, guidelines, and procedures related to program area.
  • Knowledge of budgeting and account reconciliation principles.
  • Knowledge of organizational practices and principles.
  • Program coordination and execution.
  • Coordination of activities, evaluating data, and establishing priorities.
  • Microsoft Office Suite (Word, Excel, PowerPoint). Abilities.

Background Information

Northern Arizona University requires satisfactory results for the following: a criminal background investigation, an employment history verification and a degree verification (in some cases) prior to employment. You may also be required to complete a fingerprint background check. Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States. Finally, each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities. Salary

Salary range is $41,421 - $51,776. Annual salary commensurate with candidate's qualifications and related experience.

FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.

Benefits

This is a Classified Staff (CLS) position. NAU offers an excellent benefit package including generous health, dental and vision insurance; participation in the Arizona State Retirement System; paid vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents. More information on benefits at NAU is available on the Human Resources benefits website. Classified Staff employees are in a probationary status for their first six months at NAU. NAU is a tobacco and smoke-free campus. Employees offered a position will be eligible for state health plans (including NAU's BCBS Plan). New employees are eligible for benefits on the first day of the pay period following their enrollment, after their employment date. Employees will have 31 days from their start date to enroll in benefits. Additionally, new employees will begin participating in the Arizona State Retirement System, and the long-term disability coverage that accompanies it, on the first of the pay period following 6 months after the new employee's start date.
