The Office of Research Administration (ORA) has an exciting job opportunity for a Grant Accountant to work at the Coral Gables Campus.

Salary range: $47 - $52,000 annually based on experience.


The Grant Accountant (Cash Management) supports a robust grant and contract portfolio, and ensures pre- and post-award requirements are met. The Grant Accountant is responsible for reporting and monitoring, sponsored research accounts from award set up through closeout while adhering to University, state, and federal policies. This position works independently, plays an important role in post-award compliance by ensuring that budgets are not overspent, grant periods are adhered to, costs are allowable under the award, and accounting records are maintained in good order. Moreover, this position acts as a liaison for faculty and staff to various central support offices.


  • Assists with or performs grant-related post-award functions, including award setup and budget distributions, expense monitoring, periodic invoicing, and financial reporting.
  • Performs grant closeout functions such as reconciliations and financial status reports.
  • Ensures high quality, efficient service to the research community, and participates in innovative customer service initiatives.
  • Assesses need and aids in the resolution of matters in conjunction with principal investigator or department administrator.
  • Assists with time and effort reporting system, ensuring it is complete and in compliance with applicable regulations.
  • Communicates with fiscal contacts at funding source for problem resolution and information gathering.
  • Maintains a demonstrated knowledge of Federal regulations related to Research Administration, including the Uniform Guidance, Cost Accounting Standards, Federal Acquisition Regulations, and major Federal funding agency guidelines.
  • Assists in the completion of all aspects of the annual audit report on federal awards.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.

Bachelor’s degree or any appropriate combination of relevant work experience and/or education may be considered.

Certification and Licensing:

Successful completion of Certified Public Accountant, Certified Financial Research Administrator, or Certified Research Administrator status or equivalent designation preferred.


Minimum 3 years of relevant experience. University Research Administration experience is highly preferred. Knowledge of federal and state laws, regulations, and policies related to research administration. Any appropriate combination of experience and/or certifications may be considered.

Knowledge, Skills and Attitudes:

  • Ability to work independently with minimal supervision
  • Demonstrated knowledge of Federal regulations related to Research Administration, including OMB Uniform Guidance, Cost Accounting Standards, Federal Acquisition Regulations, and major Federal funding agency guidelines.
  • Excellent computer skills and facility with using MS Excel (sorting, pivot tables, filtering, basic formulas).
  • Excellent mathematical and analytical skills.
  • Excellent communication skills, ability to translate and summarize numbers into an understandable narrative to others.
  • Ability to communicate effectively in written and oral with a diverse group of individuals.
  • Demonstrated experience using institutional systems.
  • General knowledge of office procedures and operations.
  • Skill in data entry with minimal errors.
  • Ability to accurately prepare and maintain records, files, reports and correspondence.
  • Skill in completing assignments accurately and with attention to detail.
  • Ability to analyze, organize and prioritize work under pressure while meeting deadlines.
  • Ability to process and handle confidential information with discretion.
  • Ability to communicate effectively in writing and verbally as well as the capability to work well under pressure in an environment with deadlines is a necessity.
  • Must be able to translate and summarize numbers into understandable narrative to others and make independent decisions.
  • Comprehensive knowledge of policies and issues related to sponsored projects administration in an institution of higher learning is necessary.
  • Knowledge of and ability to use computer equipment and software including word processing, databases, spreadsheets, web browsers, e-mail, etc.

Department Specific Functions:

The Grant Accountant supports the research mission of the University of Miami and the goals of the Office of Research Administration and is an integral partner in a sponsored programs administration team. Directly responsible for lockbox/bank statements and for the drawdowns of funds, the reconciliation and submission of quarterly federal financial reports of the Letter of Credits (LOC).

  • Drawdowns of funds and reconciliation of all Letters Of Credit (LOC) accounts including but not limited to DHHS, Department of Education, NSF, DOE, EPA, USIA, DOC, USGS, NASA/GSFC, NASA/AMES, NASA/Kennedy, NASA/Stennis, NASA/Johnson, DOI.
  • Reconciliation and submission of quarterly federal financial reports for awards which are under the letter of credit.
  • Responsible for the timely drawdowns for awards which are under the letter of credit.
  • Request Direct Loan payments as needed for students from the School of Medicine, Coral Gables, and Law School.
  • Request payments for Pell, SEOG, and FWS as needed for Financial Aid.
  • Record payments received to the appropriate award for each letter of credit.
  • Record payments received to the appropriate awards for non-letter of credit.
  • Record payment to the appropriate award along with the deposit. For payments not readily identifiable, distribution of payment is placed on account and researched to determine if applicable to this department or some other area of the University.
  • Ensure that all journals are carefully posted in the system.
  • Ensure that the Suspense account is kept to a minimal on a daily basis.
