- Accession incoming complete or partial Autopsy cases into the Department database. Notify attending and resident physicians in a timely manner of pending cases. Work with Decedent Affairs, to ensure documentation meets all regulatory requirements.
- Track and participate in completion of autopsy cases, ensuring that the final report has met all of the College of American Pathologists (CAP) requirements. Notify the Medical Director of Autopsy, Dr. Marshall, of inconsistencies or issues in a timely manner (usually within 24 hours).
- Track and send “Next of Kin” letters, provisional anatomic diagnoses documents, and other official notifications. Track documentation processes, so that a database is maintained of what records are generated, by whom, and when.
- Ensure all processes are in place for receipt of bodies and communication with internal and external clients, including funeral homes, Decedent Affairs, Donor Alliance, researchers, medical records, University of Colorado Autopsy service and director, and families of the deceased. This position is not medically or legally qualified to render any opinions. Transfer all questions to the appropriate person, including but not limited to, Decedent Affairs personnel, Dr. Carrie Marshall, Director of the Medical Autopsy service, the case resident or attending physician.
- Facilitate and keep a record of sent materials to off-site reference laboratories, ensuring all of the proper documentation and precautions are in place. Document all materials that go out, or come in, in the form of a medical lab report or consultation. Notify the attending pathologist of record when data is received.
- Manage policies and procedures specific to administrative autopsy services for manual and College of American Pathologists (CAP).
- Triage patient family or representative needs and refer questions to the appropriate co-worker.
- Handle sensitive situations involving specific patients, their families and related parties with professionalism, due process, and sensitivity. Immediately refer any person who needs assistance, leaving messages if necessary, for Decedent Affairs or a pathologist to call back. Document all communications in a communication file, associated with each patient.
- Accession outside pathology slides or records related to specific areas of work assigned.
- Establishes and maintain filing system that meets or exceeds regulatory and CAP standards. Whenever possible, make electronic copies and ensure they are backed up on the Pathology server by using files set up by the Department of Pathology IT staff.
- Maintain and control confidential or classified material that may come to your attention. This may involve chain of custody issues and high-level secure storage, according to departmental and institutional protocols
- Retrieve medical records and other medical information from outside medical facilities. This process may involve telephone communication followed up by written request. Keep correspondence log, and track responses.
- Manage record keeping by completing reports and forms for billing, procurement and accountability requirements.
- Acts as liaison with other department administrative, nursing, physician or staff. Make sure that post-mortem information and other related medical documents are not released unless it is appropriate and the individual submitting the request has been fully vetted. Refer to protocols and seek assistance as necessary.

Qualifications
Minimum Qualifications:Level I:
- One year of experience in an occupational field related to the work assigned to the position.Substitutions:Certification related to the work assigned to the position will substitute for the required experience.Appropriate education will substitute for the required experience on a year-for-year basis.
- Two years of experience in an occupational field related to the work assigned to the position.Substitutions:Certification related to the work assigned to the position will substitute for the required experience.Appropriate education will substitute for the required experience on a year-for-year basis.
- Lift, push, and/or pull up to 20 lbs.Work in an environment that may expose you to fumes, chemicals, liquid nitrogen, extreme cold, blood/body fluids, and infectious disease.Frequently wash your hands, as biohazardous materials may be present.Work within a high-level secured facility.
- Bachelor’s degreeDocumented administrative experience in a health care / clinical diagnostics lab. Experience calculating lab results and data using math and analytical skills. Experience using MS Word and Excel. Preferred experience will include developing reports, spreadsheets, and databases using the mentioned software programs. Experience entering data into an electronic system.Experience purchasing and maintaining lab supplies. Demonstrated experience with medical terminology, human anatomy and physiology.
- Strong interpersonal skills and a high degree of professionalism, resourcefulness, tact, and diplomacy are essential.
- Ability to organize workload and file correctly by alphabetical and numerical order.
