Position Summary
St. Lawrence University invites applications for an Associate Director of Donor Relations position. Reporting to the Director of Donor Relations, the Associate Director shares in the responsibility for all donor relations activities and is specifically responsible for managing many of the day-to-day processes in the Donor Relations office including; acknowledgements for major gift donors, editing and managing the student thank you note process for scholarships, internships, travel scholarships, and university fellowships, and collaborating with the director in managing on-campus donor recognition events and supporting the major gifts team. The Associate Director maintains the online Mapping the Laurentian Legacy GIS donor named space inventory, and manages the department’s web presence as well as ThankView and Odder digital stewardship programs. Beyond University Advancement, the Associate Director works collaboratively with the offices of the President, Career Services, Financial Aid, and the Business Office.Duties/Responsibilities
Manages Stewardship Correspondence

  • Manage web-based portals and processes associated with the student thank you note submissions for various award programs including scholarships, internship fellowships and travel awards by setting-up the online platform annually and proof reading over 500 student letters before they are sent to donors. This is done in collaboration with the office of international studies, dean’s office, financial aid and career services.
  • Assist with the timely generation and distribution of personal letters to high level and other key donors (trustees, those in the presidential portfolio, etc.) to St. Lawrence on behalf of University leadership.
  • Execute customized stewardship such as videos, gifts of appreciation and reporting in collaboration with major gifts officers.
  • Serve as the donor relations point person on electronic reporting, online platforms and large digital communications.
  • Work with the administrative secretary of donor relations to manages regular communications regarding tribute notifications, matching gift acknowledgements, etc.

Donor Recognition, On-campus events and Fund Stewardship
  • In collaboration with the director of donor relations and other University Advancement staff and campus partners, designs and executes on-campus, donor recognition, and celebration events, as well as activities involving memorial plaques and other signage.
  • Responsible for the maintenance of the Mapping the Laurentian Legacy online GIS inventory of named spaces and other inventories of donor recognition naming opportunities.
  • Work collaboratively with the director, administrative secretary, and outside vendors to deliver over 800 annual endowed fund reports through a combination of digital and hard copy reporting.
  • Coordinate and edit donor recognition lists and content for impact reports in collaboration with the university advancement writer and communications staff.

Fundraising Support
  • Manage details for donor recognition societies including database updates and acknowledgements to donors.
  • Attend major and principal gift team meetings to discuss high level donor prospect strategies and major gift proposals and priorities.
  • Write proposals, gift agreements, and individualized stewardship pieces for donors and prospects at the major and principal gift levels.
  • Identify and invite Laurentians to represent St. Lawrence at the inauguration of presidents at other colleges and universities and handle details associated with their representation.

General Duties
  • Represent Donor Relations in working groups within the University Advancement division and on-campus committees, as appropriate. (career services, financial aid, business office)
  • Send gift agreements and other sensitive documents to donors and university administration digitally through the DocuSign program.
  • Hire and supervise student workers with the assistance of the administrative secretary of donor relations.
  • In the absence of the director of donor relations, the associate director may be responsible for supervision of the administrative secretary and oversight of the day-to-day operations in the department.
  • Assist with Advancement and University events such as commencement and reunion, as needed.
  • Perform other duties as assigned or requested.

Minimum Qualifications:

  • Bachelor’s degree is required.
  • Three years minimum professional work experience or comparable undergraduate work or internship experience that includes development, non-profit administration, higher education, marketing, research or significant writing responsibilities.
  • Excellent writing, grammar and editing skills.
  • Proven organizational skills; experience managing complex and time-sensitive programs.
  • Strong research and analytical skills.
  • Ability to work independently as well as within a team, build effective relationships, and manage multiple projects simultaneously.
  • Ability to interact with donors and colleagues with the highest degree of professionalism.
  • Must be technologically savvy, have a high level of competence with Microsoft Office Suite programs, managing web based content, and be comfortable learning new programs in an increasingly cloud based, digital environment.

Preferred Qualifications:

Experience in donor relations, development or events management preferred. Experience using The Raiser’s Edge is preferred.
