Occupational Summary

The National Center for Child Traumatic Stress (NCCTS), co-located at UCLA and Duke University is the coordinating center for the National Child Traumatic Stress Network (NCTSN). The NCCTS is seeking applicants for the position of NCCTS Staff Assistant. The NCCTS leads, coordinates and facilitates national collaborations and initiatives across child servicing systems and multiple topical domains; producing child trauma resources, products, reports and information for providers, treatment developers, families and stakeholders. Please note that the NCCTS does not provide direct clinical services to children and families. This position (NCCTS Staff Assistant) currently allows remote work and is anticipated to be a combination of remote and on-site in the future. Position is located at Duke University in Durham, NC.

The NCTSN is a unique federally funded initiative that seeks to improve the quality, effectiveness and availability of care and services for children and families who are exposed to a wide range of traumatic experiences, including physical and sexual abuse; domestic, school and community violence; natural disasters and terrorism; and life-threatening injury and illness. Combining knowledge of child development, expertise in child traumatic stress, and attention to cultural perspectives, the NCTSN supports the development and broad adoption of evidence-based and trauma-informed treatments. The NCTSN is a collaboration of 140 academic, clinical, and community service centers across the U.S.

The NCCTS Staff Assistant is based within the NCCTS Administrative Core and reports to the NCCTS-Duke Administrative Officer. This position:

· Assists the Administrative Core team with the coordination of activities within certain national collaborations in partnership with multiple NCTSN member centers, partners, and various other NCCTS staff.

· Supports, schedules, and assists with the design of meetings and communications, both in-person and virtual. Manages calendars and scheduling.

· Develops agendas, slides and presentation/event materials in collaboration and in support of the Administrative Core team.

· Tracks action items from meetings and collaborations, takes minutes or reviews minutes for accuracy, schedules meetings, provides logistics support for activities, assists with time management, makes travel arrangements, and assists with reimbursements.

· Organizes and manages office resources, to include requesting and managing equipment, supplies, and services.

· Screens and routes mail and documents; determines which to respond to or which to bring to supervisor's attention based on content of communication and broad knowledge of departmental programs and activities.

· Creates and maintains administrative tools/materials such as organizational charts and contact lists.

· Advises and directs clerical or other personnel in the department or division; makes work assignments and reviews work for accuracy and completeness. Performs other related duties incidental to the work described herein.

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field; knowledge of, or interest in, a program field related to the NCCTS mission is desirable (child trauma, mental health, public health, public administration, hospital administration). Experience with grants management is preferred.

Work generally requires three years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities. OR an equivalent combination of education and relevant experience.

Salary is dependent on education and experience.

Duke University was created in 1924 by James Buchanan Duke as a memorial to his father, Washington Duke. The Dukes, a Durham family that built a worldwide financial empire in the manufacture of tobacco products and developed electricity production in the Carolinas, long had been interested in Trinity College. Trinity traced its roots to 1838 in nearby Randolph County when local Methodist and Quaker communities opened Union Institute. The school, then named Trinity College, moved to Durham in 1892, where Benjamin Newton Duke served as a primary benefactor and link with the Duke family until his death in 1929.
