Job Summary/Description:

This position is part-time and non benefits-eligible. Position will not exceed 19 hours per week.

  • Works day, evening, and weekend shifts as required to configure, monitor, and supervise events held at University facilities scheduled by the Special Events Office under the general supervision of the Houston Harte University Center Events Manager. Facilities operated include, but are not limited to, the University Center, the Pavilion, the Super Slab, and the Campus Green. Supports ASU events and oversees, as directed, auxiliary facilities. Assists the Events Manager in planning, inspecting and supervising physical buildings, labor, equipment and food services arrangements. Helps perform custodial and maintenance inspections and follows up with appropriate personnel to ensure that repairs are completed or deficiencies corrected. Assists the Events Manager in interviewing, selecting, training, scheduling (controlling labor hours used) and supervising student and/or temporary personnel. Helps the Events Manager in conducting the annual inventory of University Center and all additional assigned property and equipment.
  • This position has an atypical schedule with flexibility to change based upon event schedule and facility coverage needs. Position schedule will not exceed 19 hours per week.
  • All bookings are made through a software package, Event Management System (EMS). The Operations Assistant should become very familiar with EMS and be able to review reservations and access all booking information.

Typical Duties/Job Duties:

  • Works with campus customers, community customers, and guests to gather all needed information on booked events to plan events, configure facility and room set-ups per instructions/requirements, and execute needed physical set-ups. This is to include contacting the event/reservation coordinator and fleshing out event details and/or confirming known set-up information, performing all required customer follow-up duties to complete the reservation process and finalize event confirmations.
  • Provides event details and instructions to set-up crew members verbally, visually, and in writing using provided event software packages. Ensures that tables, seating, staging, lighting, sound, and all other appropriate resources affecting events are operational and properly configured.
  • Ensures appropriate staffing for all events and special programs. Controls event staff performance before, during, and after the conduct of events.
  • Performs custodial and maintenance inspections and follows up with appropriate personnel to ensure that repairs are completed or deficiencies corrected.
  • Performs minor building and audio-visual equipment maintenance tasks daily as needed.
  • Assists the Events Manager to interview, select, train, and supervise student and/or temporary personnel.
  • Assists the Events Manager to schedule and lead the student staff in the performing the day to day tasks involved with getting the facilities ready for the different scheduled events.
  • Verifies to Events Manager at the close of each shift that all events for that evening (and the morning of the next day) are set up for and adequately staffed; ensures that a plan is in place to get the property of the facility put away in a secure location before the shift is over.
  • Works shifts as assigned by the Events Manager, to include evenings, weekends, some holidays, and as the business operations of the auxiliary facilities dictate.
  • Communicates in a professional, service-oriented manner with faculty, staff, students, visitors and others in the course of performing work or coordinating tasks.
  • Performs all additional duties as assigned.

Knowledge, Skills and Abilities:

  • Knowledge of facility management practices, events scheduling and set-up procedures;
  • Knowledge of customer service principles and practices;
  • Knowledge of word processing and spreadsheet applications and software;
  • Knowledge of schedule development and staff management practices;
  • Ability to organize and coordinate event set-ups;
  • Ability to perform basic mathematical calculations;
  • Ability to organize and complete multiple tasks in an accurate and timely manner;
  • Ability to perform work in an independent manner;
  • Ability to interact effectively with a wide variety of customers and users;

Minimum Qualifications:

  • Bachelor’s degree in any field plus one year of experience in facilities/building operations or management, housekeeping supervision, event planning and set-up, or other directly related experience.
  • Three years of relevant experience may substitute for degree requirement.

Physical Requirements:

  • Able to stand, move, turn and twist as needed to direct physical set-up operations. Ability to lift 35 pounds.
  • Ability to sit and use current office equipment. Ability to learn and operate forklift.

The institution was founded in 1928 as a community college. By an act of the 58th Session of the Texas Legislature, the institution was designated as Angelo State College in 1965, the year it became a four-year, state-supported institution. The name was changed to Angelo State University in 1969. On Sept. 1, 2007, Angelo State University became a member of the Texas Tech University System.

ASU has a proud history of diversity, accepting Hispanics, who today make up more than 25 percent of the student population, from the very beginning. The institution enrolled African-Americans prior to Brown vs. Board of Education and one student broke the color barrier in Texas Intercollegiate football in 1953.

Angelo State University's campus is situated on 268 acres in the center of San Angelo. The campus is lined with native live oak and pecan trees as well as imported palm trees.
