Job Summary

Provide operational and administrative support and project management associated with running programs in the Urban Educational Initiative spanning communications, recruitment, enrollment, program planning, implementation and evaluation, grants management, and financial processing.

Take appropriate actions to support a diverse workforce and participate in the College's efforts to create a respectful, inclusive, and welcoming work environment.

Essential Functions

Operational support, administration and project management (50%)

Responsible for operational and administrative support for programs including:

  • Oversee materials ordering and bookkeeping.

  • Coordinate the recruitment and enrollment of Smith College students who work as Fellows in UEI Programs.

  • Support UEI human resources needs, including communicating with Smith College HR Department and managing stipends for Smith College students who work in our programs.

  • Serve as the operational lead on communications.

  • Build and oversee information databases for the UEI programs.

  • Serve as the Operational Lead on all aspects of Risk Management for UEI programs.

  • Provide direct support for the UEI Director, including the coordination of deadlines and the gathering of information needed for college procedures, documents, financial reports,

  • and grant reports.

Manage grant funding and program budget (50%)

  • Manage grant-funded and related program budgets. Ensure that expenses are allocated correctly, and team members are aware of budget capacities, limits, and reports are accurate.

  • Ensure team meets deadlines generated by funders, include submitting grant and budget reports.

  • Coordinate plans to develop, monitor, and expend budgets. Including overseeing payroll and stipends for participants.

Minimum Qualifications (knowledge, skills, education, experience, certifications, licenses)

Bachelor’s degree and 2-4 years of experience or an equivalent combination of education/experience.

Experience working with individuals from diverse backgrounds. Must possess a strong understanding of both the theory and practice of urban education.

Preferred Qualifications

Successful track record in development, fund raising, and nonprofit leadership. In addition, youth development work and teaching experience at the K-12 level, or an equivalent combination of education and relevant experience, is an asset.

Skills

Excellent leadership, oral and written communication skills; ability to facilitate meetings, develop action plans, and supervise a staff. Significant experience in working with children and youth in out of school programs in diverse communities. Spanish-speaking is a plus. Must have a proven record of successful work with K-12 and college students.
