Job Details

DUTIES AND RESPONSIBILITIES:  The Auxiliary Services Coordinator reports to the Director of Auxiliary Services and assumes responsibility for managing the administrative processes and providing office support necessary for maintaining the daily operation.  The Auxiliary Services Coordinator will serve as the office coordinator; maintain retrievable office records and files; prepare office correspondence; develop and disseminate departmental information; receive visitors/vendors and assist with routine inquiries and/or refer to appropriate staff; and maintain adequate office supplies and materials. Responsible for data entry keying, vending machine inventory, entering purchase orders for services and products received and forwarding to accounts payable, and ensuring timely submission of reports. Maintains Motor Pool requirements by assigning reservations and completing invoices and all monthly reports; utilizing the Fleet Commander Software, Agile Motor Pool software system, (online reservation and maintenance sections); and monitoring the vehicle requestors to verify requisitions are entered into Jenzabar EX database timely to prevent purchase order delays. Supervises student assistants, provides appropriate training to office staff, handles daily issues and concerns, and provides assistance as needed.  Performs other duties as assigned by the Director of Auxiliary Services in support of departmental goals.

QUALIFICATIONS: Bachelor’s Degree preferred and a minimum of two years of college required. Previous office management, coordinator or related experience strongly preferred. The successful candidate must be knowledgeable of office practices and procedures and proficient in Microsoft Office with working knowledge of other automated systems. Exceptional customer service, interpersonal relations, and communication (written and oral) skills are required.  Ability to coordinate and prioritize assignments, manage multiple tasks, resolve problems, perform assignments with minimum supervision, and interact positively and extensively with students, faculty, staff, and the public is required.  Knowledge of Jenzabar EX system is preferred.
