Job Description:

This position is located in University Benefits, Retirement, and Leave Administration in Human Resources (UFHR). This position serves as a primary lead for technical set-up and supports the Benefits Administration module in People Soft. This role is responsible for system management, plan set-ups, rate changes, and review of daily maintenance responsibilities to ensure the proper functioning of the benefits system and self-service portal which employee access for new hire, qualified status changes and annual open enrollment changes. Also, directs fiscal year monitoring of compensation for all retirement-eligible employees, for the purpose of adhering to IRS 401(a)(17) limits; and calendar year monitoring of 403(b) and 457 contributions, for the purpose of adhering to IRS 402(g) and 415 Annual Addition limits. Performs calculations and provides contribution data to participants and financial advisors; manages all correspondence relating to contributions and limits monitoring functions. Works closely with payroll and reviews various reports/queries to submit necessary overrides and adjustments on a biweekly basis. Reviews retirement plan and 403(b) enrollments for accuracy. Responds to questions regarding FICA Alternative and Special Pay Plans.

Benefits Administration Module Administration, New Enrollments, & Portal Access
Reviews and analyzes several daily queries supporting the Ben Admin module in PeopleFirst. Reports are analyzed to determine possible plan/enrollment errors completed by Ben Admin based on various job actions which may be processed on an employee’s job appointment. Research and coordinates with Talent Acquisition and Onboarding as well as campus departments to determine the proposed job action in order to determine the corrective action needed to resolve the enrollment error. This role is also responsible handling all system set-ups or daily maintenance related to leave, retirement, and benefits programs. Performs benefit plan set-ups for new/ terminating benefits plans, enters benefit plan rates, rate changes, retirement contribution changes and preparing the set-ups annually for open enrollment. Serve as the Direct Support Contact and liaise with UFIT for myUFL. Submit and manage support cases. Troubleshoot and rectify myUFL issues. Analyze and investigate ways to enhance Ben Admin module in PeopleFirst. During open enrollment, works collaboratively with colleagues in UFHR Benefits to update necessary plan changes, portal text changes, etc., which are required to prepare the system and self-service portal for employee access. Coordinates with UFIT on necessary set up changes and testing. Performs daily report analysis on open enrollment changes to make setup corrections as necessary and correct employee enrollment errors during that period.

Monitors compensation and contribution limits for participants in the ORP, AEF plan, and FRS plans. Develops and enhances procedures and tools to track compensation and contributions on a biweekly basis. Adjusts, waives, and resumes ORP, AEF and supplemental 403(b) enrollments to adhere to IRS regulations. This position requires extensive knowledge of State University System (SUS), DOR, and local rules, policies and procedures, as well as IRS regulations governing 401(a)(17), 403(b) and 457 plans.

Retirement Communication
Generates all correspondence to participants and responds to inquiries regarding adjustments, suspensions, and resumption of their retirement enrollments. Maintains close working relationships with Benefits staff at the College of Medicine (Gainesville and Jacksonville), financial advisors, and approved provider representatives. Performs calculations and provides projections of year-end contribution totals.

Generates and analyzes reports and queries derived from PeopleSoft data to identify potential errors in enrollments and deductions, as well as over contributions, for employees in all retirement plans. Works with Enterprise System refine and correct UFBBR004 reports as needed.

Responds to questions regarding FICA Alternative and Special Pay Plans.

Other duties as so assigned. Serves as a backup for and supports Ben Admin team.

Expected Salary:

$60,000

Minimum Requirements:

Bachelor's degree in an appropriate area and one year of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:

Prefer experience with retirement issues and experience with PeopleSoft/Oracle System. Excellent Excel skills are required to perform these duties. Ability to analyze and interpret Internal Revenue Code and state statutes is essential.
