Responsibilities
  • This position provides administrative support for the Honors Program and to the Director including assistance with scheduling meetings and events, assisting visitors, maintaining office supplies, and assisting with promotion and communications of the Honors Program. Requires a high degree of accuracy, professionalism and detail and other duties as assigned.
  • Answers and transfers phone calls; creates office voicemail messages for after hours calls; greets and directs visitors and guests, helps students who come to the honors office for assistance or with questions. Responsible for recruiting and supervising OPS assistants to support office functions.
  • In collaboration with Honors faculty and staff and other offices in HSF, assists with planning, coordination, and set-up of honors events including reserving space, event logistics, communicating with attendees as needed, identifying and getting information from vendors regarding available services and items and cost, coordinating with FSU vendors to assure that policies are followed to procure services, coordinate room set-up and take-down.
  • Maintains calendars for honors events in coordination with other honors staff and faculty and shares regularly with Honors staff and faculty to avoid scheduling conflicts; assists the Honors Director with meeting scheduling for key stakeholders (e.g., Honors Program Policy Committee) including identifying common open times for meeting participants and proposing meeting times; sends meeting invitation and reminders to participants; takes and disseminates meeting minutes as needed; facilitates virtual honors meetings as requested. Edits documents and public-facing communication as needed.
  • Assists with developing Honors communications including editorial feedback on planned email messages to Honors stakeholders, drafting website text and selecting images using publishing software as needed (e.g., Drupal, Photoshop, etc.); facilitates timely dissemination of key Honors communications including email, the website; facilitates timely communication from other units at FSU to staff and faculty as requested including with staff who develop event flyers and newsletters; provides editorial suggestions on documents and other public-facing communication as requested by the Honors Director.
  • Responsible for purchasing functions for Honors faculty and staff including office supplies, mailing, and coordinating Facilities and Maintenance Requests. Also responsible for travel coordination for the Honors faculty and staff.
Qualifications

High school diploma or equivalency and four years experience or a combination of post high school education and experience equal to four years.

    Knowledge of office practices, procedures, and etiquette. Ability to communicate effectively both verbally and in writing. Demonstrated ability to gather, interpret, report, and/or edit information. Experience prioritizing, organizing, and performing multiple work assignments simultaneously. Knowledge of applicable computer applications including Microsoft Office suite, and basic computer functions. Ability to establish and maintain effective working relationships internally and externally.
Preferred
  • Previous experience in a higher education office.
  • Experience providing editorial feedback in communications (e.g. mass emails, website, brochures, etc.).

What is a typical day in this position? No two days are the same. One day you may be assisting students with the in-office printer and fielding calls from prospective students. The next you may be planning travel and identifying and following up on changes that need to be made in order to maximize productivity and safety. This role is exciting for its varied challenges but is also rewarding in terms of supporting students in their academic and personal quests and helping to foster a positive and productive work environment.

What can I expect in the first 60-90 days? Your first few weeks will be getting up to speed on the Honors Program - our course offerings and curriculum, our specific programs (including Honors in the Major and University Honors), policies, procedures, and will ask questions and understand expectations for the role. You'll also attend all honors staff meetings as well as Honors Program Policy Committee (HPPC) meetings to facilitate working relationships within these groups, to deepen understanding of the program, and suggest constructive solutions as appropriate. You will receive on-the-job training, but will immediately bring your skills to bear in solving problems, identifying areas that could be improved to enhance the office environment.
