The Registrar plays a vital leadership role within the academic community. The Registrar is responsible and accountable for the management and implementation of the administrative and operational activities of the Office of the Registrar. These include maintaining academic records, ensuring record accuracy, security, and integrity, and making records available as appropriate. The registrar is also responsible for relevant institutional data. This position ensures that courses are scheduled, grades are submitted, and that clear processes are in place so that students, faculty, and staff have the information they need to navigate the academic complexities of the University campus. The registrar is responsible for the strategic planning of the office and routine assessment of office functions and technology to ensure contemporary efficiencies.

The Registrar must have excellent interpersonal and management skills to interact with students, oversee an office, and supervise staff; technical skills to work with data and meet others’ needs to access academic data; and leadership skills to work with diverse colleagues among the faculty and staff to draft, implement, review, and revise academic policies and procedures. An increasingly important area of responsibility for the Registrar is to help ensure that the University is appropriately managing its various data operations, especially as they pertain to student academic progress and records.

Responsibilities:
  • Provides strategic planning, leadership, and advice in relation to policies and procedures regarding students and services for students including operational functions of the Office of Registrar in accordance with University, State, and Federal guidelines and regulations
  • Establishes, monitors, evaluates, and modifies processes, procedures, and/or standards, ensuring alignment with the University's mission, values, goals, and objectives
  • Assists faculty, staff, and students with interpretation of academic regulations, registration and progression policies
  • Prepares applicable internal and external quality audits and creation/dissemination of reports
  • Partners with Institutional Research as needed to prepare, audit, and deliver institutional data (i.e., Common Data Set, IPEDS, State reporting, etc.)
  • Ensures that the University has systems and procedures in place to maintain compliance as required. Evaluating and communicating the impact of potential regulatory changes on the University
  • Oversees all operations in the registration process (bulletin, record creation, course schedule building, classroom assignment, final exam scheduling, grade processing, transfer credits, transfer course equivalents, transcript issuance, student enrollment, course modality, curricular updates, verification, and military service waivers)
  • Review, adjudicate, and respond to academic appeals
  • Responsible for the delivery of FERPA training for faculty and staff
  • Manage the certification of credential conferrals and all academic commencement activities
  • Supervise the academic calendar, recording of grades, course add/drop, campus-wide registration procedures, and the student identification card system
  • Manage, as the principal designated school official (PDSO), the implementation of the Student Exchange Visitor Program (SEVP) and the Student Exchange Visitor Information System (SEVIS) systems
  • Oversee planning, budgeting, and personnel management of Registrar’s Office staff
  • Prepare and maintain academic action, standing and dean’s lists
  • Expand outreach efforts to all registered undergraduate and graduate students to increase retention and provide continuous support
  • Supervise Registrar office staff
  • Ensure technological efficiencies meet institutional needs for registrar functions
  • Other duties as assigned by the Provost or designee

Qualifications:

Required Qualifications:

  • Minimum of five years of progressively responsible leadership in a Registrar’s office or similar area in higher education
  • A master’s degree, from an accredited college or university
  • Demonstrated advanced knowledge of Federal and state laws pertaining to the privacy rights of students and access to student information, i.e., FERPA
  • Documented strong commitment to accuracy, the desire to solve problems, and engage in analytical activities, and interest in building a team that shares these values
  • Ability to coordinate and accomplish multiple tasks at the same time; ability to set priorities
  • Ability to work productively in a setting with people of diverse backgrounds and personalities
  • Strong customer-service orientation for working with students, faculty, and staff
  • Experience supervising staff
  • Expertise and competency using an integrated student information system such as Ellucian Banner, or equivalent software

Preferred Qualifications:

  • Expertise and competency using Excel, Access, Argos, Tableau, Microsoft PowerBI, or the equivalent software
  • Demonstrated ability to partner and collaborate with university constituents
  • Demonstrated experience with policies and procedures as they relate to registrar functions and record retention, including data custodian responsibilities
  • Evidence of the ability to analyze complex issues/data and provide recommendations
  • Evidence of strong organizational and interpersonal communication skills
  • Demonstrated ability to collaborate with a diverse population of campus constituents and experience as a successful project manager
