General Description::

The Associate Director supports the Director in executing the management, administration, and strategic direction for all student financial aid programs and possesses a working knowledge of the overall operation in the Office of Student Financial Services. This position assists the Director in representing the office in administrative and public venues and has a key role in decision-making and policy development.

In particular, this individual oversees critical programs in the office, such as verification, federal and state work-study, professional judgements, and FAFSA reviews. This role also performs critical tasks, such as monitoring satisfactory academic progress, R2T4’s and withdrawals, maintaining the website, and processing dependency override requests. Reports to the Director of Student Financial Services.

Essential Functions and Responsibilities::

  • Supervises SFS team members, providing annual performance appraisals and other regular feedback.
  • Monitors state and federal financial aid regulations and assists the Director in providing training to new and current SFS team members.
  • Assists the Director in developing financial aid policy for the university and making critical decisions for the office.
  • Assists in the annual federal audit to ensure compliance in all areas.
  • Monitors satisfactory academic progress and notifies students who are placed on warning or suspension.
  • Reviews and processes satisfactory academic progress appeals.
  • Performs R2T4’s and reviews all withdrawals.
  • Ensures that the website is up to date with current information and updates all financial aid forms on a regular basis.
  • Processes dependency override requests from students and oversees committee reviews when necessary.
  • Oversees SFS team members as they perform critical tasks, such as verification, federal and state work-study, professional judgements, and FAFSA reviews; performs these tasks directly on an as-needed basis.
  • Participates in financial aid staff meetings, trainings, high school nights, and other campus events.
  • Interacts with current and prospective students and families on an as-needed basis to provide financial aid and billing counseling.
  • Performs other duties as assigned.

Knowledge, Skills, and Abilities::

  • Experience and enthusiasm for working with diverse student populations, including students of color, LGBTQ students, and veterans.
  • Possesses comprehensive knowledge of major Title IV regulations.
  • Demonstrated ability to manage and prioritize tasks; excellent time management and organizational skills, ability to complete high volume workloads, and work independently in a fast-paced environment.
  • Proven track record of leading, supervising, and motivating employees.
  • Expert use of Department of Education databases, such as NSLDS and COD.
  • Excellent verbal, listening and written communication skills.
  • Ability to write clear and comprehensive instructions, business process documentation, and training materials that require superior attention to detail.
  • Intermediate skills in Microsoft Word, Excel, and Access.
  • Excellent customer service skills.

Required Qualifications::

  • Bachelor’s degree.
  • 3 years financial aid experience, including some leadership or supervisory experience. Graduate education can substitute for some experience.
  • Finalist applicants must satisfactorily complete pre-employment background checks.

Preferred Qualifications::

  • Master’s degree.
  • Experience using Banner.
  • Financial aid experience at a private, four-year institution, preferably in the state of Washington.
