Job Summary

Under the general supervision of the Associate Athletic Director – Finance & Administration, responsible for the daily management of all fiscal activities of the NCAA Division I Athletic Department including budget planning, formulation, and management. Assure all fiscal activities are conducted in compliance with Federal, State, Conference, Institutional and NCAA laws and regulations. Maintain and ensure fiscal integrity of the Department’s $40+ million operating budget. Oversee the daily management of the Athletic Business Office. Create, implement, and manage comprehensive business operations systems and processes that maintain and support a sound fiscal environment for the Department’s 21 Division I intercollegiate sports programs and administrative offices. Prepares necessary financial reports required throughout the given fiscal year to be used as a tool for budget management, budget preparation, and financial reporting to maintain proper funding levels for all areas within athletics. Serve as a Department liaison with Auxiliary Services, Residential Life, and other departments as needed to coordinate the Department’s needs.

Essential Functions

  • Responsible for the daily management of all fiscal activities of the NCAA Division I Athletic Department including budget planning, formulation, and management. Assures all fiscal activities are conducted in compliance with Federal, State, Conference, Institutional and NCAA laws and regulations including PCI compliance, cash handling policies, proper business transactions, and the maintenance of the highest level of confidence in regards to the various confidential information that the business staff is exposed to in regards to financial data.
  • Maintain and ensure fiscal integrity of the Department’s $40+ million operating budget.
  • Maintain internal control and safeguards and develop and document business processes and accounting policies to maintain the strength of internal fiscal controls.
  • Oversee all daily management aspects of the Athletic Business Office including monitoring the Department’s operating expenses and budgets.
  • Supervise all full-time staff members of the Athletic Business Office; responsible for all training, onboarding, scheduling and performance management.
  • Assign workload and delegate projects to Business Office staff.
  • Signature authority as defined by the Associate Athletic Director – Finance & Administration.
  • Ensure the timely completion of processing and payment of purchase orders, procards, and invoices in a timely and accurate manner.
  • Oversee daily preparation and reconciliation of operating budgets for each of the Athletic Department sports and administrative areas.
  • Monitor and work with staff to set up and maintain detailed operating budgets within Department’s appropriations.
  • Consistently analyze financial data and compare budgeted to actual results with a view to identify, explain, and correct variances as appropriate.
  • Manage the fulfillment of all department per diem requests via VISA Prepaid Administration Tool.
  • Works directly with various internal and external constituencies such as coaches, staff, the NCAA, 3rd party financial auditors etc. to ensure proper execution of the department’s fiscal goals and expectations.
  • Serve as the Department’s primary liaison with the Controller’s Office, the Unified Procurement Services Team (UPST); the Bursar’s Office; the Office of Information Technology and other campus and outside constituencies in relation to fiscal matters.
  • Reconcile and create monthly financial reports in an accurate and timely manner and clearly communicates monthly financial data to all head coaches and heads of department. This includes keeping Associate Athletic Director – Finance & Administration abreast of discrepancies, changes, or concerns.
  • Assist Executive Team in benchmarking analysis related to all major cost centers and department generated revenues.
  • Produce analytical reports to inform short-term and long-term financial decisions.
  • Execute daily, month-end, and year-end accounting tasks for athletic accounts which includes posting journal entries and budget transfers.
  • Advise senior staff and head coaches about on-going finance, budget, and business issues, and develop financial models for planning purposes.
  • Coordinate telecommunication and computer programming and technical support when necessary in conjunction with the OIT and Telecom department.
  • Coordinate housing and meal needs when necessary in conjunction with Residential Life, Conference Services, and Auxiliary Services.
  • Provide assistance and information to the Associate Athletic Director – Finance & Administration for the annual audit, EADA, and annual budget reports for the Faculty Senate and Athletic Council.
  • Keeps abreast of current trends and developments in the field through publications, seminars, and conferences.
  • Responsible for strict adherence to NCAA, conference, and University rules and regulations.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor’s degree required in Sports Management, Business Administration, Accounting, or related field.
  • Minimum of three years of demonstrated experience in areas of budget and finance.
  • Demonstrated experience with database and spreadsheet creating and management specifically Excel.
  • Well-developed interpersonal, conceptual, organizational, and communication skills.
  • Ability to anticipate and handle last minute concerns.
  • Ability to establish and maintain effective working relations with various constituencies.
  • Ability to work independently and exercise sound judgment.
  • Ability to participate effectively in team efforts and in diverse groups of constituencies.
  • Supervisory experience.

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Finance experience in higher education.
  • Demonstrated experience working in an intercollegiate athletic setting.
  • Experience creating policies, procedures and systems.
  • Familiarity with Peoplesoft financial production and reporting.

Typical office environment.

Work Schedule

Monday-Friday 8:30AM-4:30PM, 37.5 hours per week.
