The Office of Advancement has an opening for a full-time University Staff (unclassified) Sr. Event Coordinator position.

Due to our continued growth, we are recruiting for a Senior Event Coordinator at the University of Colorado Anschutz Medical Campus Office of Advancement.  Reporting to the Program Director for Benefactor Relations and Events, the Senior Event Coordinator will facilitate the full execution of cultivation and stewardship events in the Office of Advancement.  This position will work on the Benefactor Relations team to imagine and execute a variety of events throughout the year to inspire private philanthropic support, program development and highlight the mission and vision of this campus, including the six schools/colleges.

Job Summary:

The Senior Event Coordinator will take ownership of the planning, preparation and execution of cultivation and stewardship events, 25-35 events per year. Outside of logistics, detailed below, the Senior Event Coordinator will also lead an event launch meeting, creation of timelines and assignments for all parties and conduct a debrief following the event to ensure success and identify areas to improve the event moving forward or make recommendations, supported by data, to not repeat the event in the future.

The Senior Event Coordinator will serve as the point of contact for all events that involve benefactors, patients and alumni as the primary audience. They will be responsible for vision and creation of a budget request to support the proposed event to the Assistant Vice Chancellor for External Relations.  This position will manage all aspects of the event, including research of best practices on how to run the event effectively, production of all materials for the event (including content creation and design input), creation and management of the event budget, management of invite lists and RSVP’s (that could include online registration system and acceptance of payments in accordance with fiscal policies), negotiation of contracts with vendors, management of vendor relationships beyond contract completion, coordination and maintaining of healthy working relationships with vendors including, but not limited to: caterers, florists, event rentals, print shops, parking, community members, and department/unit representatives, management of on-site production of the event and post event details, coordination and management of event volunteers (including training), development of briefing materials for leadership and analysis of the success of the event.  The Senior Event Coordinator will manage email administration, event processing, web content, communications and brand compliance.  They will lead or delegate the distribution of event invitations and event communications (follow up, confirmation, post-event, etc).

This position will be responsible for capturing event data in Advance and/or SalesForce for the creation and analyzation of reports. They will collaborate with Central Advancement Services to establish reporting templates, criteria and data inclusions to measure year-over-year engagement.  These reports and data will be reviewed and analyzed to identify trends emerging from engagement opportunities. They will draft proposals for successful engagement opportunities or areas of improvement to be shared with the Assistant Vice Chancellor for External Relations and/or other campus and office leadership. 

The Senior Event Coordinator is a key member of the External Relations team and overall Office of Advancement. They will be responsible for leading planning with the team in coordination with communications, stewardship and campus schedules and assisting with determining the capacity for the number of events produced each year. This position will be a partner in identifying activities that best meet the goals for Advancement. The Senior Event Coordinator will serve as an expert resource for alumni relations colleagues as well as other events personnel across the campus, including Children’s Hospital Colorado and UCHealth University of Colorado Hospital. This position will operate independently with minimal guidance or direction.

Salary and Benefits:

The salary range (or hiring range) for this position has been established at $47,578 to $65,000  

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.

Minimum Requirements:

    A bachelor’s degree from an accredited institution3 years of professional level experience in event planning and/or event support
Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis

Preferred Qualifications:

    Experience planning high profile events focuses on cultivation and stewardship ranging in size from 5-500+  Experience working in development, non-profit and/or healthcare industries.

    Ability to communicate effectively, both in writing and orally. Ability to manage multiple projects and competing deadlines.Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.Outstanding customer service skills.Demonstrated commitment and leadership ability to advance diversity and inclusion.Ability to manage all aspects of event planning and related finances.Ability to track and manipulate event data.
