The Department of Medicine, Division of Education has an exciting opportunity for a Full-Time Sr. Program Coordinator to work on the UHealth Campus. The Sr. Program Coordinator is responsible for the day-to-day administration of the ACGME residency/fellowship training program(s) and is directly responsible to the Program Director(s) and Program Manager. The Sr. Program Coordinator functions as a liaison between the Program Manager and Program Director(s), residents/fellows, GME Office, and other departments/divisions.

• Oversee day-to-day operations of residency/fellowship program(s).

• Serve as first contact for the Program, providing general program information for applicants, residents/fellows, faculty, and staff.

• Interpret and apply GME policies and procedures as well as ACGME policies and procedures, including common and program-specific requirements.

• Communicate with program constituents (GME Office, department, faculty, residents/fellows, Board, ACGME) as needed.

• Utilize New Innovations to monitor compliance with work hours standard, manage evaluations, track procedure/case logs, document conference attendance, and manage residents/fellows portfolios.

• Regularly coordinate information and activities with other services, sites, and departments, including rotation/call schedules, evaluations, conferences, interviews, room/course scheduling.

• Compile and submit reports for various GME systems (ABIM, FREIDA, ACGME ADS, GME Track, ERAS, and NRMP).

• Manage resident/fellow recruitment process including ensuring application completeness, scheduling and facilitating interviews, pulling reports from ERAS/NRMP

• Facilitate resident/fellow onboarding and orientation including review of submitted documentation, scheduling orientation and required trainings.

• Organize and facilitate Annual Program Evaluation meeting and semi-annual Clinical Competency Committee meetings.

MINIMUM QUALIFICATIONS

• High school diploma or equivalent

• Minimum 3 years of relevant experience

• Skill in completing assignments accurately and with attention to detail.

• Ability to analyze, organize and prioritize work under pressure while meeting deadlines.

• Ability to process and handle confidential information with discretion.

• Ability to work evenings, nights, and weekends as necessary.

• Commitment to the University’s core values.

• Ability to work independently and/or in a collaborative environment.

• Proficiency in computer software (i.e. Microsoft Office).
