Job Purpose:

The Marketing Specialist is responsible for supporting, coordinating, and delivering marketing and communications projects to campus partners on behalf of the Gonzaga Marketing and Communications (MarCom) department. The Marketing Specialist supports the Senior Director and Assistant Director of Marketing and works directly with in-house partners and MarCom teams including graphic design, website, storytelling/content/social media, visual media (photographer and videographer), as well as outside vendors to help develop integrated marketing campaigns, coordinate project teams, create project plans, execute on those plans, and write and edit content for web, social media, print, and video projects. This position supervises several student positions. This position reports to the Senior Director of Marketing.

Function Details:

  • Assist partners, alongside the Senior Director and Assistant Director of Marketing, with the development of creative, integrated, and strategic marketing campaigns and initiatives that meet marketing objectives.
  • Assist partners in establishing marketing budgets.
  • Set, maintain, and communicate project schedules and deadlines to partners and all necessary stakeholders.
  • Ensure all project work meets quality standards as defined by MarCom and the partner.
  • Work with printers and other vendors as necessary to effectively complete projects.
  • Communicate issues and risks to the project with partners and stakeholders as necessary.
  • Communicate partner objectives and represent partner interests to the MarCom project team, and vice versa.
  • Follow MarCom department workflow process to ensure quality and efficiency of projects.
  • Work with the Senior Director and Assistant Director of Marketing to prioritize projects and balance workload among MarCom resources.
  • Serve as a primary and secondary point of contact with partners.
  • Build strong relationships with partners, stakeholders, and MarCom team members.
  • Encourage open communication about projects among partners, stakeholders, and MarCom team members.
  • Facilitate partner conflict resolution and escalate issues to the Senior Director or Assistant Director of Marketing as necessary.

  • Interview subjects as necessary to complete writing assignments.

Function Details:

  • Serve as a traffic coordinator for the department by assisting the Senior Director and Assistant Director of Marketing with intake of new projects, as well as actively monitoring the capacities of project managers and the production team in order to make project assignments.
  • Assist in maintaining projects in MarCom’s project management software system (Wrike), ensuring they are up-to-date and appropriately detailed.
  • Assist in maintaining accurate project schedules to ensure projects are delivered on-time, on-brand and exceeding partner expectations.
  • Assist in overseeing the flow of projects through the department, from intake to successful delivery.
  • Lead daily marketing team check-ins.
  • Assist with web projects and updates to web pages as needed.
  • Help coordinate video production scheduling/locations/talent and provide on-set assistance in support of the MarCom videographer.
  • Steward the Gonzaga University brand and ensure that all projects adhere to communications and branding standards.
  • Look for and provide suggestions on ways to improve MarCom workflow processes and tools.

Minimum Qualifications:

  • Bachelor’s degree in business, marketing, public relations, communications or related field.
  • A minimum of 1 year of experience in marketing and communications role(s) that includes project management, marketing strategy and implementation, and content writing and editing.
  • Ability to apply defined objectives in marketing strategy, advertising, media and brand management to client projects.
  • Experience managing projects that involve all forms of media ranging from print, to broadcast/video, to web communications and interactive media.
  • Project management experience with demonstrated successful results, particularly in the areas of managing timelines and working with partners.
  • Proven ability to juggle multiple projects and manage project teams and clients with competing demands/priorities.
  • Excellent verbal and written communication skills, with experience in copywriting for marketing campaigns/projects.
  • Demonstrated ability to manage the production of high-quality marketing materials for print, interactive/web, video, and social media.
  • Demonstrated understanding of marketing analytics and ability to apply them to projects.
  • Professionalism, maturity, and judgment in all partner interactions.
  • Strong partner presentation skills.
  • Strong work ethic and excellent time management skills.
  • Excellent organizational skills.
  • Proficient in Microsoft Office applications (i.e., Word, Excel and PowerPoint).

Desired Qualifications:

  • Experience at a marketing, advertising and/or PR agency in a project, account and/or traffic management role.
  • Experience working in higher education.
  • Experience working with print vendors and knowledge of print production processes.
  • Experience managing web projects and familiarity with web technologies.
  • Experience managing email marketing projects, including working with email marketing and/or CRM software to create and send email marketing campaigns.
  • Experience with Social Media marketing and communications.
