Responsibilities

This position serves as the Human Resource Representative for the Chemistry & Biochemistry Department and is responsible for performing a wide variety of higher-level administrative tasks. In this role, you will be responsible for:

  • Preparing, submitting, and monitoring all personnel transactions including hiring, appointment paperwork, reappointments, terminations, appointment changes, and funding updates.
  • Drafting and posting job opportunities.
  • Receiving notices of employee performance evaluations and contacting supervisors to complete.
  • Maintaining a confidential database of all personnel paperwork for Chemistry & Biochemistry employees.
  • Reconciling biweekly payroll to ensure accuracy.
  • Ensuring that electronic faculty effort reporting proceeds according to schedule.
  • Assisting in compiling HR data for reports as necessary.
  • Serving as liaison with The Center for Global Engagement and supporting foreign national students and postdoctoral and visiting scholars with the VISA process.
  • Completing I-9s for all Chemistry employees.

The Administrative Associate plays a crucial role in the success of the Chemistry Department. By serving in this position, you will contribute directly to the success of the academic teaching and research efforts at Florida State University!

Qualifications

Who is an ideal candidate for this position?

An individual who is detailed and able to organize tasks and meet deadlines. Someone who enjoys problem-solving, prioritizing, and multitasking. This is an essential role to the department that supports everyone from students, faculty, and staff. Needless to say, good verbal and written communication skills are required. You are comfortable taking an active role to ensure the office is operating efficiently.

You are committed to service excellence, able to maintain a productive, ethical work environment. You thrive when working independently, but can also work as a team player when needed.

Minimum Requirements include:

  • High school diploma or equivalency and three years of experience
  • Knowledge of Microsoft Office Suite and willingness to learn computer programs
  • Effective communication skills, including by phone, email, and in-person
  • Ability to demonstrate courteous and professional customer service skills
  • Ability to keep accurate records and familiarity with basic office procedures

Preference will be given to applicants with previous administrative, office, or human resources experience. Familiarity with FSU policies and procedures is a plus.

Anticipated Salary Range

Anticipated starting salary in the low to mid $30,000s, commensurate with the selected applicant’s skills and experience.
