The University of Miami has an exciting opportunity for Director, Ophthalmic Initiatives with Bascom Palmer Eye Institute.

The Director, Ophthalmic Initiatives develops, oversees and leads the implementation of various programs and initiatives that support the division’s vision, short- and long-term plans. This role cultivates new relationships, manages the development and implementation of various initiatives, while leveraging existing partnerships.

CORE JOB FUNCTIONS

  • Provides support to division/department leadership to help advance strategic goals and objectives, such as preparing for key internal and external meetings and conducting the necessary follow-up.

  • Lead cross-functional meetings.

  • Leads projects and day-to-day project management of cross-functional teams.

  • Develops and implements cross-functional plans for strategic initiatives.

  • Supports integration planning, along with other business and functional personnel.

  • Oversees tracking and reporting on the status of strategic initiatives activities.

  • Prepares presentations, analyses and updates leadership accordingly.

  • Evaluates, prepares materials, and develops presentations detailing key initiatives.

  • Assists with process improvement initiatives within the overall department.

  • Identifies improvement opportunities that will improve the experience for patients, faculty and staff while positively impacting the bottom line.

  • Implements proven process improvement methodologies (Lean 6-Sigma, etc.) deep into the organization via communication channels, training, awareness, etc.

  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.

  • Ensures employees are trained on controls within the function and on University policy and procedures.

Education:

Bachelor’s degree in relevant field

Experience:

Minimum 5 years of relevant experience

  • Ability to establish department goals, and objectives that support the strategic plan.

  • Ability to effectively plan, delegate and/or supervise the work of others.

Department Specific Functions

The Director, Ophthalmic Initiatives leads projects that span multiple ophthalmology specialties and sites in furtherance of organizational goals and objectives. The incumbent in this position designs and implements interventions to enhance scheduling, resource utilization, and patient flow. The position manages staff, resources, data, project plans, and communications for operational improvement initiatives to ensure their successful delivery.

Project & Program Management

  • Leads administrative staff, clinical staff, and related teams in support of strategic initiatives across the system.

  • Creates and maintains comprehensive project plans to effectively define and manage tasks, milestone dates, status, resource allocation, and stakeholder communications for assigned initiatives.

  • Completes observations, shadowing, time studies, and appropriate statistical analysis to define baseline metrics and quantify quality improvements using tools and techniques such as Visio workflows/swim lanes/process mapping, spaghetti maps, root cause analyses, fishbone diagrams, time -and-motion studies, etc.

  • Designs reports, dashboards, and presentations to evaluate and report on project/program status and success.

Operational Logistics & Analytics

  • Maintains proactive approach to identify trends and implement strategies related to improving access for patients and balancing future appointment volume in effort to ensure optimal clinical performance and patient experience.

  • Evaluates and implements interventions to ensure the effectiveness and accuracy of clinical workflows, DEPs, scheduling templates, visit types, testing panels, resource timing, and space utilization to optimize the coordination of the patient journey through every clinical scenario.

  • Leads cross functional workgroups to plan resource sharing and workload distribution efforts amongst eye centers to promote optimal utilization.

Technology/Innovation

  • Designs and implements process optimizations and innovative technologies to enhance clinical operations, patient experience, access to care, and provider efficiency.

  • Completes proactive analysis and market research on current systems and technology to recommend potential changes or enhancements that will assist in adhering to the organization's strategic vision and to improve operational workflows as well as patient and provider experience.

  • Partners closely with the Information Technology department to ensure technology-related initiatives are organized and managed thoroughly and are completed in a timely manner in accordance with operational need.

Additional Skills

  • Clinic workflows and scheduling strategies

  • Project Management Professional Certification preferred

  • EMR build and functionality – Epic preferred

  • Proficient Excel and PowerPoint skills

  • Advanced data analytics skills (modeling, harvesting, visualization, predictions/forecasting, prescriptive analytics, interactive data models, simulations, statistical relationships/correlations)

  • EMR Reporting – Epic preferred (Workbench, Slicer Dicer)

  • Dashboard Applications (i.e. Microsoft PowerBI, Tableau, Google Analytics, IBM Cognos)
