Requires technical knowledge in the field acquired through an apprenticeship, a 2-year degree, or professional certificate. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.

Position Summary:

This position supports the Alumni Relations team and Annual Giving team within the larger Development and Alumni Relations Department at the Terry College of Business. The Terry College has an alumni network that is more than 70,000 in number. This office is critical to the success of raising $20 million ++ annually for the College as well as executing several signature events, many key initiatives and fundraisers for the college; managing three Alumni Boards; creating several fundraising solicitations and many other engagement opportunities for alumni, friends and corporate supporters of the College. This position is extremely confidential in nature, having access to highly sensitive donor records and alumni information as well as regular contact with the Terry College of Business Dean’s Office, the Office of the President, UGA Foundation and other officials at the university. This position is responsible for coordinating programming for alumni to support student success by connecting external constituents with current students.

Duties/Responsibilities:

Responsible for providing alumni engagement through annual student and alumni workshops and events

  • Liaise with USS department to provide alumni speakers for 6 annual workshops.
  • Provide details for alumni participants including event timeline, parking, and directions.
  • Schedule practice call with alumni participants and moderator to ensure event success.

Duties/Responsibilities:

Responsible for providing on-campus opportunities for prospects to engage at the Terry College and interact with students and faculty

  • Coordinate Terry Talks and other on-campus experiences for prospects.
  • Work with major gift officers to engage their prospects.
  • Provide details for alumni participants including event timeline, parking, and directions.

Duties/Responsibilities:

Alumni Receptions/Events

  • Work with OMC team to create email and/or printed event invitations (submit OMC requests).
  • Set up online registrations through GAIL.
  • Accept RSVPs by phone and/or email and keep reservation list for all AR events.
  • Prepare all nametags for events.
  • Prepare any needed table signage or sponsor recognition for events.
  • Work with Asst. Director of Alumni Relations to properly and appropriately promote events via social media as part of outreach strategy.
  • Assist with event details (catering, décor, other vendors).
  • Send reminders to guests prior to event.
  • Attend and assist with set up/clean up as needed for events.
  • Oversee constituent records are updated after events.
  • Assist with host thank you letters and event follow up.

Marketing & Communications

  • Work closely with Terry OMC to process all marketing requests (invitations, promotional pieces, etc.).
  • Enter requests and provide needed information through OMC system.
  • Develop appropriate signage for events (digital, directional, etc.).
  • Work with outside vendors when appropriate.
  • Maintain log of projects and provide updates to Alumni and Annual Giving team at staff meetings.

GAIL Support

  • Event set-up in GAIL.
  • Create emails in BEE editor to send via marketing efforts or event invitations.
  • Create/segment alumni lists for invitations.
  • Submit Event Approval Forms to the Foundation.
  • Create Event Registrations using ASKIT requests.
  • Pull reservations lists for events.
