Summary:
Inside Higher Ed, the leading source for news, careers, events and resources for all of higher education, is seeking an Office Manager. The Office Manager is responsible for ensuring that office operations run smoothly, that our customers and readers are assisted in a timely manner, and that employees have the supplies and support needed to perform their work. This role will provide administrative support to the leadership team.   

This is a full-time, exempt (salaried) position based in Washington, D.C..

Supervisory Responsibilities:

  • None

Duties and Responsibilities:

Office management

  • Oversee the reception area; greet visitors
  • Answer the main phone line, ensuring that callers get the assistance they need
  • Office supplies – maintain inventory and order/buy supplies as needed for copier, printers, and supply cabinet
  • Kitchen oversight – monitor supply needs and maintain kitchen area cleanliness
  • Mail – date stamp, sort, open and distribute as directed. Handle need for courier or express shipments as well as mass mailing needs 
  • Building Maintenance – communicate with Property Management on any aspect of the building needing maintenance
  • Errands – run errands outside office as necessary
  • Catering/Small Office Event Coordination – order food, set up prior to and clean up after meeting/company event, submit invoices for payment
  • New Employees – coordinate with HR and IT on setup of workspace for new employees and provide an Office Manager debrief for the new hire
  • Exiting Employees – coordinate with HR and IT for return of all office equipment.
  • Equipment Maintenance – monitor machines for service, coordinate necessary maintenance
  • Phones & Voicemail – maintain working knowledge of phone and voicemail system

Support

  • Provide inbound customer/reader support via phone and email
  • Manage freelancer contract templates for new contributors
  • Package, ship, and track materials, in coordination with marketing team, for external events/conferences
  • Register executive team for outside events
  • Provide travel coordination for executive team
  • Other projects or duties as assigned

Education and Job Knowledge:

  • Associate’s degree or equivalent preferred, but not required
  • 5-10 years of general office experience
  • Ability to handle confidential matters with discretion
  • Excellent phone and interpersonal skills, including demonstrated ability to interact with all staff, clients, and vendors in an effective and professional manner
  • Excellent time management skills, dependability, and the ability to prioritize multiple tasks with full commitment to getting the job done
  • Excellent organizational skills
  • Advanced writing and oral communication skills
  • Experience in facilities management
  • Event planning experience preferred
  • Demonstrated proficiency with business and industry related computer applications, such as the Microsoft Office Suite, including Word, Excel, and PowerPoint

Work Environment:

This position is typically performed in a traditional office environment with the option to work from home 1 day per week; however, the individual is also required to occasionally travel to other locations for meetings and other business-related needs.

Physical Demands:

While performing the duties of this job, the employee is required to stand, walk, and sit; use hands to handle objects, tools or controls; use fingers and hands to control computer mouse, type or write; reach with hands and arms; and talk and hear.  Must be capable of lifting and moving up to 20 lbs.
