Job Overview

The Director of Administration provides oversight, coordination, and support for the Georgetown University Libraries in the areas of human resources administration, building management, security, and mailroom operations, and general administrative support - impacting the continuous operation of the GU Libraries which provide support to academic continuity almost 24/7/365. Responsibilities include but are not limited to:
  • Tracks relevant GMS business processes throughout the library employee life cycle (approximately 90+ FTE staff/AAP and 120+ students) and serves as the Department Administrator for GU Libraries and HR Contact for student employees in GMS.
  • Directs the work of the Library's Building Manager and another staff member who is responsible for library mailroom operations
  • Serves as liaison to University Facilities and GUPD for security issues, and coordinates emergency preparedness and response and risk management activities.
  • In close collaboration with the Dean of the Library and other members of the leadership team, provides general administrative support and serves as a liaison to Financial Services.


Work Interactions

Reporting directly to the Dean of the Library, the Director of Administrative Services interacts with the Associate University Librarians, directors, managers, librarians, library staff, and students on administrative matters. They work closely and collegially with other campus units such as Human Resources, Benefits Office, Student Employment Office, the Main Campus Office of Finance and Business Services, GUPD, University Facilities, and other university units to ensure transactions are processed accurately and in a timely fashion and that building security and management issues are addressed appropriately and promptly.

Qualifications
  • Master's degree or equivalent expertise and related work experience
  • At least three years of demonstrated progressively responsible administrative experience -preference for experience in supporting human resource functions
  • Demonstrated effective interpersonal, written and oral communication skills required.
  • Supervisory experience
  • Demonstrated ability to plan, organize, and manage diverse and competing tasks while also delivering high quality customer service
  • Proven experience in taking initiative and working independently
  • Ability to pay strict attention to detail, meet deadlines, maintain confidentiality and ethical work practices, and handle sensitive information with sound judgment and discretion
  • Commitment to fostering an equitable and inclusive workplace, and ability to work effectively with a diverse faculty, students, and staff
  • Proficiency with Microsoft Office Suite, Google Suite, Adobe, and web conferencing software
  • Proven experience using databases and spreadsheets, with willingness and ability to learn new software to support administrative functions, as needed
