Position Summary:


The Student Support Services Administrative Assistant will work effectively and harmoniously with disadvantaged students, as well as other students, faculty and staff from a wide variety of racial, ethnic, cultural, and socioeconomic backgrounds. Assist with the preparation of all monthly quarterly and annual reports. Maintain all student and program records in files. Maintain the program database and provide formative and summative reports to the project Director. Assist the Director in monitoring activities and collaborative efforts in accordance with the projects’ established goals and objectives. Support the Director to ensure that all aspects of recordkeeping and program planning, development, and evaluation are in place to maintain compliance.


Reporting Relationship:

Director, Student Support Services/ TRiO Programs.

Essential Responsibilities:

1. Work with the Director and the program’s Advisors to ensure that the goals and objectives of the SSS project are met.

2. Maintain both the electronic and the paper database and filing systems.

3. Provide professional support and assistance in college-wide activities related to student admission, financial aid, academic advising, registration, orientation, graduation, and overall guidance in an effort to meet program participant’s needs.

4. Help with the coordination of programming relative to the SSS Project, particularly those related to recruitment, retention, graduation, and transfer.

5. Support and participate in both in- and out-of-classroom lives of SSS participants in an effort to enhance their development and learning experiences.

6. Maintain detailed records of all aspects of students’ progress including academic, social, personal, etc., that would aid, or impede their overall success.

7. Assist the Director with completing the programs’ Annual Performance Report.

8. Build and maintain positive working relationships with PSC faculty and administrators to assistant program participants with academic advising, counseling, consultation, referral, and information services.

9. Performs a variety of clerical and general support functions that are primarily routine in nature but require the knowledge of the general operating procedures of the office.

10. Maintains and orders office supplies and materials needed for Student Support Services activities/events and personnel.

11. Performs other duties as assigned within the scope of the department, consistent with the role of this position.

Minimum Qualifications:

1. High School Diploma or G.E.D. 2. Two years of college coursework. 3. Demonstrated sensitivity and experience with students from low-income, disadvantaged educational backgrounds. 4. Demonstrated ability to assist students in a culturally diverse environment. 5. Working knowledge along with comfort level in assisting students with college and university admissions, transfer policies, and financial assistance processes. 6. Proven commitment to target participant population. 7. Ability to work in teams. 8. Ability to maintain confidentiality.

Preferred Qualifications:

1. Experience working with TRiO Programs.

2. Experience working in a community college.

3. Working knowledge of Title IV-Federal Financial Aid.

4. Outstanding programming skills designed at enhancing the quality of the academic and personal lives low-income, first-generation and disabled students.

5. Experience with Datatel colleague.



Anticipated Work Hours and Days:

This is a part-time position. The Administrative Assistant is required to work no more than nineteen (19) hours per week, which includes one evening.
