Job Description:

As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University seeks a Student Records Specialist. Working closely with the Director of Registration and Records, the Student Records Specialist promotes Marian University’s Catholic Franciscan mission and identity by providing high quality customer service support to students, faculty, staff, and the general public. The Student Records Specialist is a vital position to the daily operations of the Registrar’s Office and serves as the first point of contact for most customers. This position is responsible for making sure the general office operates efficiently and effectively on a daily basis to support the work of mid and senior level staff members. This position is often called upon to complete several tasks simultaneously.
Essential Duties and Responsibilities:

  • Actively engages the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values, honoring the legacy of the founding congregation, promoting unity in diversity, and integrating the Catholic and Franciscan intellectual traditions in courses, programs, and services.
  • Responsible for opening main office each morning (office opens promptly at 8am).
  • Assists students, faculty, staff, and the general public at the customer service counter or over the telephone in a prompt, courteous, respectful and friendly manner.
  • Routes phone calls to others, as necessary.
  • Check and respond to emails that come to the general office email account as well as personal email account in a timely manner.
  • As the primary point of contact for the office, responds to questions from students, faculty, staff, and the general public regarding registration, grading, transcripts, and other academic policies or office procedures. Directs them to other offices or appropriate staff members as the situation requires.
  • Assists the Director in collecting scheduling information for the schedule of classes build each semester from all colleges, schools, and departments.
  • Uses the Colleague system to maintain student record data which includes, (but is not limited to), advisor/major and name/address changes, registrations, grade entry, withdrawal from university tracking, and course offering data.
  • Processes transcript requests on a daily basis; troubleshoot any issues with the online ordering system by working with the Director to connect with a Parchment representative or submit a help ticket; deposit transcript revenue with the business office.
  • Solicits and tracks outstanding incomplete grades and processes grade changes submitted by faculty.
  • Generates notices to students, faculty, staff, and the general public, including verification of enrollment, and reporting degree/enrollment verification data from pending requests through the national student clearinghouse.
  • Prepares correspondence, reports, notices, minutes, facsimiles, publications, etc. as directed; assists office staff with miscellaneous duties of the office when necessary by receiving cross-training.
  • Photocopies, files, or shreds documents as appropriate.
  • Monitors and orders new office supplies as necessary.
  • Shares student information according to college policies and the law, where confidentiality is usually required.

  • Ability to operate personal computer and various software programs.
  • Ability to maintain confidentiality.
  • Flexibility to work some weekend hours during the course of a year

Required Qualifications:
  • Bachelor’s degree required
  • Previous experience in a university setting preferred
  • Work schedule is 8am – 4:30pm, Monday-Friday
