Job Description:

The Research Administrator III described herein is responsible for the oversight of research activities in the Center for NeuroGenetics in the College of Medicine. This position will also provide administrative support to 6-8 faculty members within the program, as well as coordinate administrative activities with the program.

Duties include:

Post-Award Administration—Center for NeuroGenetics Sponsored Research

  • Manages all fiscal activity related to any contract, grant or clinical trial.
  • Responsible for monitoring and maintaining daily activities for all projects, including the release and transfer of funds into appropriate expenditure categories.
  • Ensures expenditures and payments are appropriate and in accordance with agency and award stipulations.
  • Forecasts salary expenditures through the end of the budget period.
  • Provides overall financial reports that summarizes overall available funds and consults with the CNG Director and CNG Faculty to project fund availability and assist with budget planning.
  • Responsible for providing administrative coordinator with effort reporting requirements on projects, including information on required cost sharing.
  • Reviews subcontract certifications sent from Contracts and Grants (C&G) and obtains signatures.

Reporting

  • Prepares progress reports for PI’s to keep them apprised of the project fiscal status, annual reviews, milestones, or other agency reports as needed.
  • Monitors final reporting requirements.
  • Analyzes expenses, develops cost projections and provides financial tracking and fiscal control to fulfill reporting requirements.

Pre-Award Administration—Preston A. Wells Center Sponsored Research

  • Proposal Submission and Coordination
    • Manages all proposal submissions, including new research grant proposals, renewing and/or continuing grants and contracts.
    • Creates bio sketches, letters of support, facilities statements, etc… for submission to the department grant office.
    • Coordinates with the Clinical Trials Center (CTC) to resolve clinical trials compliance issues.
    • Performs editorial review of language, grammar, punctuation and contract terms for all proposals.
    • Reviews contracts to determine whether the activities should be sent through the Division of Sponsored Research (DSR), Purchasing or the Health Science Center (HSC) Contracts Office and ensures that contracts are in place before services are performed.
  • Budget
    • Provides technical assistance to PI’s in the development of proposals and submissions.
    • Coordinates with PI’s to develop budgets for grant submissions, and clinical trial studies calculating personnel and facilities costs.

Administrative Support within the Center for NeuroGenetics

  • PI Support
    • Maintains assigned faculty calendar by planning and scheduling meetings, conferences, teleconferences and travel. Ensures coordination with department fiscal team to ensure UF and department policies and procedures for travel and expense are followed.
    • Maintains confidence and protects operations by keeping information confidential including private health information, intellectual property and confidentiality agreements.
  • Event Planning
    • Participates in the coordination of visitation by colleagues, patients, and their families, answers and direct inquiries.
  • Coordinates social/education activities for the Center for NeuroGenetics including research seminars, faculty meetings, and social events.

Other duties as assigned

Expected Salary:

$60,000 - $70,000; commensurate with education and experience.

Minimum Requirements:

Bachelor’s degree and three years of experience in grant and contract administration; or an equivalent combination of education and experience.

Preferred Qualifications:
  • High-level organizational skills.
  • Experience working with medical and research professionals.
  • Experience in facilitating sponsored research activities (pre & post-award).
  • Knowledgeable in accounting principles and cost accounting standards.
  • Working knowledge of eRA Commons (Federal Electronic Research Administration).
  • Ability to effectively communicate information through written and verbal interaction.
  • Ability to interpret, implement, and integrate requirements of various funding agencies.
  • Ability to work within deadlines.
  • Ability to prioritize workload and work with groups.
  • Proficient in Microsoft Outlook, Word and Excel.
