Job SummaryReporting to and under the direct supervision of the Vice President for Advancement, with additional lead work direction from the Executive Assistants within University Advancement and the Office of the President, the Administrative Coordinator performs a variety of administrative duties in support of the administrative operations of University Advancement and the Office of the President. The incumbent oversees administrative and clerical operations of the executive suite and performs a variety of general office, clerical, reception, and secretarial duties and provides day-to-day administrative support for University Advancement and the Office of the President. The incumbent is responsible for providing coordination support for implementation of high-level University events. The incumbent works independently and in collaboration with the staff and work is supervised in terms of overall accomplishments. The incumbent provides support in administration of and improvements to operational policies and procedures; provides information on a wide variety of complex policies and procedures relating to the office and the University. In addition, the incumbent provides work direction, training and recommendations for hiring of student support staff; and provides and coordinates administrative support as needed. Contacts involve interaction with all levels inside and outside the university. The incumbent demonstrates outstanding customer service to students, staff, faculty, and visitors, while working in a professional, fast-paced environment.

Key QualificationsThis position requires a high school degree or technical/vocational program and a minimum of three years administrative work experience involving program administration and/or an equivalent combination of education and experience involving study, analysis, and/or evaluation leading to the development of improvement of administrative policies, procedures, practices, or programs. The incumbent must have a thorough knowledge of standard office systems and the ability to use a broad range of standard office technology to support duties of the position. Fundamental written and oral communication skills, including a sound foundation and working knowledge of English grammar, spelling and punctuation required. Intermediate proficiency with computers and Microsoft Office required. Knowledge of Google Suite is preferred. A working knowledge of spreadsheets, software programs, and database systems is highly preferred.

Salary and Benefits

Starting salary placement depends on qualifications and experience and is anticipated to be in the range of $3,792- $4,192 a month. This is a full time, non-exempt position, which will lead toward permanent status following the successful completion of a probationary period.

This position is eligible for a broad range of benefits, including medical, dental, vision, life and disability insurances, retirement (CalPERS), tuition waiver, vacation and sick leave. In addition, 14 paid holidays are offered each year; 13 scheduled on specific days and a Personal Holiday that may be taken any time during the year.
