Summary:

The Administrative Assistant for Aviation Maintenance will assist the Director of Maintenance. Working as a team with all maintenance personnel managing a fleet of sixteen aircraft and two simulators. They are responsible for tracking and scheduling of all upcoming maintenance events. They must open work orders prior to scheduled maintenance and schedule them into maintenance each week. The Administrative Assistant for Aviation Maintenance needs to find innovative ways to digitize and improve daily operations and other duties as assigned by the Director of Maintenance. The Administrative Assistant for Aviation Maintenance must be able to perform the following duties.

Essential Duties and Responsibilities:

1. Open work orders prior to maintenance and close work orders once complete by maintenance.2. Complete discrepancy sheets of squawks or due events for the maintenance technician.3. Update aircraft logbook binders to include event status sheets, Airworthiness Directives, etc.4. Update and prepare logbook entries for sign off by maintenance technicians and update original aircraft logbooks with new maintenance entries.5. Submit invoices to department, track delivery of parts, and ensure payment. 6. Manage inventory which includes ordering parts and cleaning supplies for operations7. Submit warrantees and track through payment into the appropriate account.8. Perform research for Airworthiness Directives, Service Bulletins, etc.9. Add Service Bulletins, Service Letters, etc. to pertaining aircraft in the RMS system.10. Extract flight information from the G1000nxi data cards and input them into Google Earth.11. Schedule oil and other hazardous waste pickups in addition to environmental supplies.12. Answer phones, respond to emails, file paperwork, and distribute mail to Aviation personnel.13. Clean office, hangar, and assist in cleaning and disinfecting aircraft.14. Maintain aircraft maintenance records per Federal Aviation Regulations for each aircraft.15. Ensure all aircraft documents are complete for airworthiness after inspections/repairs.16. Have maintenance records readily available upon FAA request.

MATHEMATICAL SKILLS: Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
