Job Summary

Savannah State University is accepting applications for the position of Events Manager.The Events Manager leads the planning, coordination, implementation and evaluation of conferences, meetings, and other student and university events. The position conducts interviews with clients to determine the services needed and all appropriate facilities needs and expectations.The position works together with multiple departments on campus and entails a great deal to of attention to detail from keeping calendars to working within computerized programs to approve and keep track of events.Knowledge in marketing, customer service, accounting, and/or of the hospitality industry are mandatory.

Responsibilities
    Demonstrate a high level of creativity, resourcefulness, strategic planning, and dynamic decision makingMarket and rent campus facilities and space to internal and external constituentsRespond to reservation requests and completes appropriate documents for rental to external constituentsSupervise hiring, training, and development of event staff and volunteersProvide information for the production, design and accuracy of printed programs, invitations, and brochures for events; ensure compliance with policies and brandingAdvise various offices and student organizations of policies and procedures for information to be submitted for publicationsRecommend new policies and proceduresPrepare contracts and invoices and monitor the collection of fees; provide payment information per guidelinesProvide logistical support to students/units/departments in scheduling, planning, and coordinating events sponsored by specific unitsProvide on-site support to include after hours and weekend eventsOversees and/or assist with event set-up as neededEnsure event exits are clearly marked and clear of obstructions, brief staff and volunteers on emergency plans and safety informationAdvise the VP of Business and Finance concerning the decisions to sponsor specific events to ensure such events are consistence with the vision, mission, strategic plan, and high standards of the UniversityWork cooperatively with Facilities, Information Technology, and Public Safety in delivery of services, coordinate audio visual support as neededMaintain an annual calendar of special events that maximizes potential impact and benefits in critical areas of donor stewardship and recognition, community relations, alumni relations, etc.May be directed to perform job related tasks other than those specifically delineated in this description
Required Qualifications
    Bachelor’s Degree from an accredited institution or high school diploma and ten (10) years in the hospitality/events industryA history of progressively responsible experience in event planning, management and staging, demonstrated ability to plan and design unique event themes that further strategic initiatives of an organizationMinimum of five (5) years of experience supervising and managing personnel in a professional environmentMust possess demonstrated organizational and time management skills with the ability to pay attention to detailExcellent interpersonal, teamwork, problem solving and customer service skills
Knowledge, Skills, & Abilities
    Knowledge of Computer systems such as Microsoft, AdAstra, etc.Knowledge of department and safety policies and proceduresKnowledge of Food Service OperationsSkilled in Customer Service skillsAbility to organize and communicate effectivelyAbility to maintain constructive and cooperative working relationships with othersAbility to cooperate with fellow employees as a team member
