Description Under the general supervision of the Customer Service Manager, the Chiropractic Assistant will be responsible for providing consistent, kind, excellent customer service to all patients, interns, students, employees, and other members of our campus community, as well as visitors to the Health Center and College. The Chiropractic Assistant will be responsible for fostering positive connections and providing consistent, enjoyable experiences to patients and interns, as well as supporting the daily functions of Health Center operations which will include greeting patients, scheduling appointments, answering questions, and collecting payments. RESPONSIBILITIES

  • Ensure that the campus community receives outstanding service by providing a friendly environment which includes greeting and acknowledging every patient and intern, maintaining high standards of professionalism, owning solid knowledge of chiropractic and all other components of Life Chiropractic College West
  • Maintain an awareness of all Health Center information and activities
  • Accurately and efficiently complete all transactions and maintain proper cash and other tenders at registers
  • Assist patients and interns in scheduling new and recurring appointments, as well as rescheduling appointments
  • Receive, verify and process new patient forms in person and online, ensuring completeness of all documentation according to policy
  • Effectively communicate new patient paperwork including fee schedules to new patients (i.e., cash, Medicare, Personal Injury and courtesy patients)
  • Collect and/or arranging payment plans\Post payments from patients and insurance companies
  • Reconcile cash receipts and prepare bank deposits
  • Data entry on various software platforms
  • Process incoming and outgoing mail
  • Answer all incoming telephone calls in a friendly, patient, efficient manner with a pleasant, professional disposition; calls originate from patients, students, faculty, staff, agencies, external persons/entities, and the campus community and include questions and queries of many kinds
  • Answer routine questions in-person, on the telephone, and/or via email from patients, interns, students, co-workers, and faculty
  • Respond to or forward and follow up on all voicemails and emails received during closed Health Center hours
  • Assist with the new patient intake process
  • Maintain the cleanliness, neatness, and organization of the Health Center
  • Manage office supplies
  • Verify and bill insurance policies
  • General office responsibilities include but are not limited to filing, data entry, making photocopies, and distributing mail
  • Abide by HIPAA laws regarding confidential patient information and FERPA laws regarding confidential student information
  • Protect confidentiality in conversations and activities
  • Practice conflict resolution with professionalism, empathy, and kindness with patients, interns, and other customers
  • Foster connection and satisfaction in interactions with patients and interns
  • Contribute to a supportive and encouraging work and learning environment for co-workers and interns/students
  • Maintain a professional and welcoming demeanor amid positive and negative interactions that take place
  • Type or Write Patient notes as dictated by intern(s)
  • Assist visually impaired intern(s) with data entry in Microsoft Office and Electronic Health Records program.

SKILLS & EXPERIENCE: EDUCATION & TRAINING REQUIREMENTS

  • Minimum of High School diploma or equivalent; Bachelor’s degree is a plus
  • 2+ years of experience in cashiering, customer service, and/or billing
  • 1+ years in a chiropractic or office setting is preferred
  • Familiar with HIPAA regulations
  • Proficient knowledge of general office equipment such as phones, computers, software platforms, and G-Suite (Gmail, Google docs and Google sheets in particular)
  • Demonstrated knowledge and proficiency in the principles, procedures, and best practices related to this position
  • Strong written and verbal communication skills
  • Ability to provide excellent customer service to the campus community
  • Ability to learn basic financial record-keeping methods, procedures, and practices; make mathematical calculations with speed and accuracy; and maintain files and records
  • Ability to learn medical and insurance billing software, as well as Electronic Health Records (EHR) software
  • Ability to work with confidential material and maintain confidentiality, sensitivity and compassion in conversations and interactions
PHYSICAL DEMANDS

  1. Nature of work requires an ability to operate standard business office equipment.
  2. Requires ability to communicate and exchange information clearly and concisely.
  3. Primary functions require sufficient physical ability and mobility to work in an office setting; the day’s activities may include standing or sitting for prolonged periods of time; occasionally stooping, bending, kneeling, crouching, reaching, and twisting; lifting, carrying, pushing, and/or pulling light to moderate amounts of weight (up to 25 lbs); operating office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard, and verbally communicating to exchange information.

WORKING CONDITIONS

  1. Work is performed primarily in a standard office environment with extensive contact with interns, students, faculty and the public
  2. 37 hours per week
  3. Monday through Thursday, 10:30 am to 7:00 pm.
  4. Saturday, 8:30 am to 1:30 pm.
  5. Off on Sunday and Monday or Thursday.
