Department Summary & Job Purpose:

The Support Services Assistant – Part Time supports the daily operation of the Mail and Copy / Fleet Services. The Support Services Assistant receives and sorts all faculty and staff mail and packages from all carriers and may also be required to deliver faculty and staff mail to campus locations. The role also processes print and copy jobs in the Copy Center. The Support Services Assistant reports directly to the Manager, Mail and Copy Services.

 

Core Job Duties and Responsibilities: 

Mail Center

• Receives and sorts all faculty, staff and student mail and packages;
   prepares that mail for delivery to campus locations
• Processes outgoing mail utilizing a computerized postage meter,
   including weighing and rating all classes of mail.
• Processes and enters billing charges for daily incoming business reply
   mail
• Processes and researches shipments through other private carriers’
   software applications
• Supervises student employees in the absence of the Supervisor of Mail
   and Copy Center
• Reviews postage balances in the meter and in physical stamps. Advises
   the Supervisor of Mail and Copy Center regarding balances.
• Advises departments on the most cost effective mailing options.
• Resolves lost package issues with members of the community
• Assists with training and project assignments of student employees

Copy Center

• Maintains orderly file system for copy center on network drives
• Serves as second-line liaison to the campus for the Copy Center and is
   thoroughly knowledgeable of various copy products available,
   understands the customer’s copy product needs, provides options to
   satisfy those needs
• Schedules and processes print jobs including finishing services
   (lamination, binding, cutting, etc.)
• Ensures the security of sensitive documents
• Utilizes digital printing software for desktop publishing
• Maintains inventory of supplies needed to keep the Copy Center
   operational (toner, paper, etc.)
• Performs daily routine maintenance on equipment and color calibration
   on color press; requests maintenance service when required
• Calculates pricing for copy requests and enters daily and monthly billing
   entries

Fleet Services

• Operates the EMS system to reserve, check and change reservations of
   Fleet vehicles
• Checks driver credentials and instructs new drivers how to be
   credentialed
• Works with third party vehicle contracts for trips we are not able to
   accommodate
• Operates as back up for ARC driver and mail driver guidance in the
   absence of the Fleet Coordinator
• Coordinates fleet vehicle billing and scheduling
• Manages vehicle leases and registrations.

Combined Centers

• Maintains a database of customer/department accounts and contacts
• Assists with customer service at the front service counter
• Assists with customer inquiries via telephone
• Performs other duties as assigned

Qualifications: 

• At least 3 years of experience working in mail services or distribution
• General understanding of copyright laws
• Visual acuity in order to examine printing products and make adjustment in the quality of
   the finished product
• Strong attention to detail
• Knowledge of current postal regulations, rates and processes
• Commitment to customer service and diplomacy; including strong interpersonal skills
• Possesses integrity, ethics and respect for confidentiality
• Ability to work in a fast-paced, multifaceted organization
• Proficiency with using software including database, electronics and Microsoft products
• Able to work in a team environment, as well as individually
• Demonstrated ability to multi-task several assignments at the same time

Physical Demands: • Frequently stand/walk, sit, perform desk based computer tasks, use a telephone, and
grasp lightly/fine manipulation • Occasionally twist/bend/stoop/squat, reach/work above shoulders, grasp forcefully, writing
by hand, sort/file paperwork, lift/carry/push/pull objects that weigh up to 50 pounds • Occasionally kneel/crawl, operate foot and/or hand controls • Consistent with its obligations under the law, the College will provide reasonable

Working Conditions: • Work is performed primarily in an interior/office environment
