This position is responsible for providing fiscal support to assist with the administration of financial and business transactions within the Morsani College of Medicine Business Office and Dean/VP Offices. The position will assist departments with managing their resources, processing financial transactions, and monitoring budget to ensure compliance with statutes, regulation, and accounting principles.


  • Review, classify, and process UMSA purchase orders, travel purchase orders, contracts, and new vendor set up using CODA financial system through the Dean's Academic Support Fund via the USF Physician Group. Reconcile P-card statements. Review p-card charges against University rules and guidelines for compliance. Reconciles monthly ledgers for various funding sources, such as E&G, Carry forward, and Auxiliary accounts. Reconciles payroll ledgers to departmental ledgers. Monitors and projects spending and notifies the appropriate persons of potential deficits before they occur.
  • Requisition entry into the University FAST financial system. P-card purchases for the Business Office and Dean/VP Office in the Morsani College of Medicine (MCOM). Processes monthly billing invoices for payment via FAST financial system. Resolves vendor billing problems. Tracking and ordering office supplies and equipment for the MCOM Business Office.
  • Prepare payroll certifications for seven departments in the Morsani College of Medicine, audit/record keeping of leave for the Morsani College of Medicine Business Office using the GEMS Alt System.
  • Develop training for MCOM departments on current rules and regulations of the Dean's Academic Support Fund (DASF) to ensure the departments are within compliance when utilizing DASF funds. Continually seek ways to improve departmental efficiencies via DASF payment processing.
  • Daily payment processing and logging of the accounts receivables from the Wachovia lockbox for tuition, hospital payments, student loans, and other miscellaneous deposits. Posting application fee payments into USF Health BANNER.



  • This position requires a High School diploma or equivalent with three years of work experience in positions with fiscal support duties. College or other relevant post-secondary coursework may substitute for the experience requirement on a year for year basis.


  • CODA experience.
  • Proficient in the use of Microsoft Office.
  • Experience preparing PowerPoint presentations.
  • Experience working with purchase orders.
  • Experience with processing travel reimbursement requests.
  • Payroll certification experience.
  • Experience maintaining an automated attendance and leave system.


  • Excellent customer service skills.
  • Ability to communicate effectively (oral and written).
  • Excellent organizational skills.
