Florida Atlantic University is seeking a Program Assistant, Boca Raton, FL.

Summary of Responsibilities Include:

  • Assisting the BSW, MSW and Field Coordinator with students through the academic process from initial contact through graduation in serving students field needs. This includes performing online registration, maintaining student filing system, and answering general field questions.
  • Assisting field coordinator in all contracts, files and advisement.
  • Maintaining Field database for School of Social Work.
  • Assisting faculty with travel reimbursements. Will do occasional travel arrangements on request.
  • Assisting faculty and adjuncts with book orders.
  • Coordinating Lending Library check-in/check-out for students.
  • Training and coordination of workload of student employee day to day activities of office duties.
  • Coordinating School of Social Work recruitments series. Includes ordering of room set-ups, designing or ordering of posters. Creating informational packets for incoming School of Social Work advisees.
  • Answering routine telephone and mail inquiries regarding School of Social Work graduate and undergraduate programs.
  • Greeting college visitors and supplying them with general college information.
  • Ordering supplies, forms and equipment for use of the office. Processing and verifying accuracy of vendor invoices. Preparing all requisition forms for department.
  • Maintaining Field database for School of Social Work.
  • Opening and distributing all incoming mail, preparing office correspondence, updating and maintains filing lists.
  • Performs other duties as assigned.

Minimum Qualifications:

A high school diploma or equivalent and four years of appropriate experience required.

Excellent verbal and written communication skills are essential to success in this position.

Must be proficient in Microsoft Office programs such as Word, Outlook, PowerPoint and Excel.

Must also have excellent customer service, organizational and time management skills.
