Assistant Director of Grants Management

Job Description:

As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University seeks an Assistant Director of Grants Management. The Assistant Director of Grants Management will promote our Catholic Franciscan mission and identity by preparing and/or managing all grant requests and reports submitted by the university. This includes preparing proposals, grant applications, interim and final reports, general correspondence, and department messaging in coordination with Advancement Office staff. Essential Duties & Responsibilities:

  1. Grant Writing and Reporting
    • Stays connected with latest reports and studies on issues related to higher education to maintain a compelling, up‐to‐date statement of need for Marian University’s proposals.
    • Writes letters of inquiry, grant proposals, applications, and reports.
    • Compiles budgets and budgetary information for grant requests and reports, based on the appropriate project costs.
    • Responds to relevant Requests for Proposals (RFPs), Notice of Funding Opportunities (NOFOs), funder inquiries, etc.
    • Other duties as assigned
  2. Grants Administration
    • Assists with producing monthly, quarterly status reports on grants and KPIs for institutional advancement committees and board reports measuring progress.
    • Supports the cultivation and management of internal and external relationships with foundations, corporations, consultants in coordination with the university’s management teams.
    • Oversees grant processing in a timely manner.
    • Works collaboratively with current and potential grant managers to effectively complete required interim and final reports.
    • Manages the process to complete and successfully submit interim and final reports for awarded grants.
    • Assists with the Post-award management process.
    • Prepares various forms of correspondence (congratulatory letters, acknowledgement letters, follow-up letters, etc.) for institutional advancement in addition to managing the correspondence process.
    • Prepares donor proposals, speeches, email communications, etc. with the Office of Institutional Advancement and Marketing Communications as requested.
    • Completes special projects as requested; attends and assists with university events as requested
    • Assists with securing required signatures from Marian University leadership for grant cover sheets and applications.
    • Other duties as assigned.
  3. Systems Management
    • Works with the Director of Grants Management to project quarterly and yearly revenue goals and track progress toward reaching goals.
    • Works with staff members, faculty, and administrators and inform them of upcoming deadlines to ensure on‐time and complete follow‐through on all grant opportunities and reports on awarded grants.
    • Works closely with relevant staff members to ensure that grant objectives are being met and that funder reports are complete, timely, and accurate.
    • Actively uses fundraising database for enhanced research, cultivation, reporting and stewardship.
    • Maintain accurate foundation and corporate accounts information in fundraising database
    • Other duties as assigned.
  4. Creation of proposals, thank you letters, general correspondence
    • Works with Institutional Advancement team in creation of proposals, thank you letters, general correspondence following the Marian branding guide
    • Other duties as assigned

Required Qualifications:

Required Qualifications:

  • Three to five years of grant writing and/or grant management experience
  • Significant federal, foundation, and corporation grant preparation experience required
  • Master’s degree preferred however, equivalent combination of education and experience may be considered.
  • High emotional intelligence and the ability to work collaboratively with diverse colleagues and stakeholders
  • Excellent writing skills in a variety of formats
  • Superior typing proofreading ability
  • High level computer and word processing skills (Word) and spreadsheet (Excel).
  • Ability to work independently with minimal guidance and direction
  • Excellent organizational skills and attention to detail
  • Discretion with confidential information
  • Ability to effectively interact with members of the university, business, and philanthropy community
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
