Grants Specialist/Writer

Job Description:

As part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University seeks a Grants Specialist/Writer. The Grants Specialist/Writer will promote our Catholic Franciscan mission and identity by preparing and/or managing all grant requests (foundation, corporate, and federal) and reports submitted by the university. The Grants Specialist/Writer is responsible for preparing proposals, grant applications, interim and final reports, general correspondence, and department messaging in coordination with Advancement Office staff. Essential Duties and Responsibilities:

  1. Grant Writing and Reporting
    • Stays connected with latest reports and studies on issues related to higher education to maintain a compelling, up‐to‐date statement of need for Marian University’s proposals.
    • Writes letters of inquiry, grant proposals, and reports.
    • Compiles budget information for grant requests and reports, based on the appropriate project costs.
    • Responds to relevant Requests for Proposals (RFPs), Notice of Funding Opportunities (NOFOs), funder inquiries, etc.
    • Actively engage the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values and honoring the legacy of the founding congregation through transformative education, unity in diversity, leadership through service, integrating faith and life, and institutional policies.
  2. Grants Administration
    • Assists with producing quarterly status report on grants for institutional advancement committee and board reports measuring progress.
    • Supports the cultivation and management of relationships with foundations in coordination with the university’s management teams.
    • Oversees grant processing in a timely manner.
    • Works collaboratively with current and potential grant managers to effectively complete required interim and final reports.
    • Manages the process to complete and successfully submit interim and final reports for awarded grants.
    • Assists with the Post-award management process.
    • Prepares various forms of correspondence (congratulatory letters, acknowledgement letters, follow-up letters, etc.) for institutional advancement in addition to managing the correspondence process.
    • Primarily responsible for preparing, managing, and submitting all interim and final reports, in consultation with Director or Assistant Director of Grants Management.
    • Works with Human Resources and new faculty/staff orientation to provide overview of the grants management process.
    • Works collaboratively across campus to provide training in grant writing, budget development, best practices in identifying funding, and other professional development opportunities to support and expand the grant culture at Marian University.
    • Other duties as assigned.
  3. Systems Management
    • Works with the Director of Grants Management/Assistant Director of Grants Management to project quarterly and yearly revenue goals and track progress toward reaching goals.
    • Works with staff members and inform them of upcoming deadlines to ensure on‐time and complete follow‐through on all grant opportunities and reports on awarded grants.
    • Work closely with relevant staff members to ensure that grant objectives are being met and that funder reports are complete, timely, and accurate.
    • Actively uses fundraising database for enhanced research, cultivation, reporting and stewardship.
    • Maintain accurate foundation and corporate accounts information in fundraising database
    • Other duties as assigned

Required Qualifications:

  • Two to three years of grant writing experience
  • Bachelor’s degree preferred
  • High emotional intelligence and the ability to work collaboratively with diverse colleagues and stakeholders
  • Excellent writing skills in a variety of formats
  • Superior typing and proofreading ability
  • High level computer and word processing skills (Word) and spreadsheet (Excel).
  • Ability to work independently with minimal guidance and direction.
  • Excellent organizational skills and attention to detail.
  • Discretion with confidential information.
  • Ability to effectively interact with members of the university and business community.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
