The Administrative Coordinator provides overall administrative assistance to leadership, faculty, research and administrative staff for the Lewis Katz School of Medicine’s Department of Microbiology, Immunology and Inflamation

Responsibilities inculde: assisting leadership with the day-to-day operations, coordinating travel arrangements and all professional activities for the Chair/Center Directors and faculty; answering  phone calls and responding to routine inquires, including facilities requests; preparing and tracking purchase orders, vendor and contractor payments in TUMarketPlace, and resolving payment issues with Accounts Payable, as required; distributing mail and sending out mail correspondence in a timely manner; preparing presentations and teaching materials using MS PowerPoint; composing complex correspondence under the direction of the Chair/ Center Director while respecting the confidential nature of such materials; setting up conference spaces, including A/V and catering needs, and taking and distributing meeting minutes. In addition, the Administrative Coordinator will be preparing research and administrative documents and tracking processes; maintaining departmental databases and listservs; functioning as a liaison for various departments in the University; coordinating faculty appointments, staff hiring which would include working with International Student and Scholar Services department in processing visa’s and new hire on-boarding processes; assisting leadership in the preparation of a variety of reports for submission to the Dean’s Office and other academic entities; assisting the Administrator with the Kronos payroll system, with running reports in the Cognos and Self-Service Banner systems to reconcile grant and non-grant budget information. Processes journal entries and clears encumbrances as directed. Performs other duties as assigned.

Required Education & Experience:
Bachelor’s degree and at least three one year of related administrative support experience within a medical setting. An equivalent combination of education and experience may be considered.

*Demonstrated ability to work independently and in a team environment.

This position requires a background check for cash handling responsibilities.

This position is temporarily assigned a hybrid work arrangement (on-campus and remote), the duration of this hybrid work arrangement is at the discretion of Temple University and the Department.
