General Statement of Duties and Responsibilities:

The Human Resources Associate provides direct support to the HRIS Manager in the Office of Human Resources. This position is responsible for coordinating various functions of front-end operations including administrative support to HR Leadership positions. The incumbent has access to a wide range of confidential information and will have access to grievances, arbitrations and collective bargaining on behalf of the Administration. Exceptionally high degrees of confidentiality, discretion and customer service are required of this position. As such, the incumbent is a confidential employee as defined in M.G. L. Chapter 150E, Section 1.

Supervision Received: Reports to the HRIS Manager
Supervision Exercised: May supervises student employees.Examples of Duties (Essential Functions):
  • Provides administrative support to the HR Leadership Team including assistance with scheduling meetings, coordinating calendars, room logistics and other duties as assigned.
  • Manages information in and out of the HR Office through the dissemination of mail, responding to telephone inquiries, greeting visitors and responding to messages in the HR email inbox.
  • Coordinates office filing including the creation of systems to efficiently maintain electronic personnel files and track and retrieve off site paper personnel files.
  • Maintain Contingent Worker Records by performing data entry, running reports, monitoring end dates and performing necessary outreach to campus community to ensure HRDirect records are clean and accurate.
  • Processes various HR transactions such as Request for ID forms, Continuation Forms and New Assignment Forms.
  • Processes tuition credit forms by verifying employee information and eligibility; tracks tuition taxability worksheets and tuition credit benefit; corresponds with Bursar, Payroll, and other Universities to assess taxation.
  • Generates and disseminates reports as requested.
  • Manages University pro-card reallocating and tracking purchases.
  • Manages office supplies and purchases through appropriate system(s), and creating PO’s to vendors.
  • Acts as point of contact for employees and institutions for automated Verification of Employment system.
  • Assist the campus community with OBRA refunds.
  • Processes name, telephone, and address changes.
  • Provides data entry support to HR Business Partners/HR Business Associates and other areas as needed to assist during peak processing periods.
  • Monitors I-9 accuracy and compliance by reviewing completed forms and filing appropriately.
  • Manages the Department’s inventory and property control
  • Assists with event planning and support such as the Annual Years of Service ceremony.
  • Assists with special projects such as Mass Salary increases, Conflict of Interest Compliance and others as needed.
  • Perform other duties as assigned.
Minimum Qualifications: Education: Bachelor’s Degree or equivalent combination of education, training or experience to successfully perform the essential functions of the position.Experience: Three years of full-time, or equivalent part-time, experience in office work. Previous experience with data entry and generating reports. Previous experience with HRIS systems.
Knowledge, Skills and Abilities:
  • Knowledge of general office software such as word, excel, power point, etc.
  • Knowledge of the principles and practices of HR/Payroll including terminology.
  • Knowledge of the methods of general report writing.
  • Ability to analyze and determine the applicability of HR data, to draw conclusions and to make appropriate recommendations.
  • Ability to read and interpret documents such as financial reports, accounts and ledgers.
  • Ability to understand, apply and explain the laws, rules, regulations, policies, etc. governing assigned unit activities.
  • Ability to perform mathematical calculations using formulas.
  • Ability to follow oral and written instructions.
  • Ability to gather information by examining records and documents and through questioning individuals.
  • Ability to maintain accurate records.
  • Ability to prepare general and financial reports.
  • Ability to write concisely, to express thoughts clearly and to develop ideas in logical sequence.

Preferred Qualifications:
  • Previous Human Resources experience in an institution of higher education or large corporation.
  • Previous experience with the HRIS/Payroll system, PeopleSoft/Oracle.
  • Environmental Demands:
  • Work generally performed in an office.
  • Frequent work performed with other people.
  • Frequent interactions with staff, managers and students.
Mental Requirements:
  • Must be able to communicate in English (speaking, writing and reading) at a level to effectively perform the essential functions of position of the Human Resources Associate position.
  • Frequent work at a rapid pace with the ability to meet critical deadline.
