Overview

Under the direction of the Senior Director of Operation or designee, the Academic Programs and Training Manager will be charged with managing membership services, training, educational and research projects, and events including an annual conference in support of the Academic Consortium on Criminal Justice Health (ACCJH). This a large association of academics, policy makers, health care practitioners, criminal justice administrators and students, committed to the mission of advancing the science and practice of health care for individuals and populations within the criminal justice system. The Manager will provide analysis and support for projects, administration, and general operations for ACCJH. The Manager will also assist with the day-to-day operations of academic programs including administrative, program enrollment, reporting and information systems/technology functions as related to multi-year contracts/agreements. The Manager will assist the Senior Director of Operations in leading and documenting academic and training activities, and may lead sub-components of a project. The Manager is also responsible for planning and coordinating training related activities of small and medium size projects that will vary in scope.

Responsibilities

Event Management & LogisticsDetermine event requirements by meeting with Senior Director of Operations or designee, the Director of Academic Programs or designee and the Officers of the Board of Directors for ACCJH.Develop and present to key stakeholders a variety of options including projected costs that meet event expectations and budget projections.Responsible for managing all event logistics which may include the following: site selection, hotel contract, food/beverage requirements, audio-visual requirements, speaker arrangements, security, transportation and travel arrangements.Act as on-site supervisor during the event as well as manage event registration and attendee evaluations. Develop and maintain strong relationships with relevant service providers and negotiate and review all event related contracts.Identify and manage coordination, organization, recruitment of internal volunteers and conference staff.Lead event follow-up debriefing and reporting.Budget & Project ManagementEstablish event budget and obtain necessary approval of budget before implementation.Advises budgets and prepares financial analyses as required.Track and analyze pertinent data on all events (e.g. events statistics and actual expenses vs. budget). Establish, implement and manage timelines and budget requirements for each event project plan. Communicate these timelines and budgets to the event team for events.Review all meeting invoices for accuracy and ensure timely payment. Document and maintain current project development reports, meeting minutes, decisions, progress reports, schedules, budgets, cost tracking reports, and other pertinent records in appropriate shared drivesManages and provides overall direction to project teams, which may consist of internal and external stakeholders, for the development of project statements, work plans, report analyses, and contract deliverables.Identifies necessary resources to perform program work, monitors work progress including, data analysis and report development, and oversees its timely completion.Assumes responsibility for communication with state agency staff and other external stakeholders in creating and implementing appropriate program designs and work plans, convening team meetings as appropriate.Manage special projects, project and/or vendor evaluations, feasibility studies and other activities related to business development within defined time lines as assignedAssemble appropriate staff to project teams to support project goalsKeep abreast of current and developing trends and health care administration in order to guide and advise clients regarding their information needsAcademic Business ManagementCoordinate attendee and presenter registration, the annual call for presentations and scholarship applications, and , manage relevant event software.Manage Continuing Education Credits for various disciplines for the annual conference.Manage ACCJH website, content development, and social media accounts.Manage ACCJH membership database, annual dues, renewals, and new membership campaigns.Research and identify potential individual, corporate, and foundation funders; cultivate current and potential donors; and in partnership with the Senior Director of Operations, the Director of Academic Programs or designee and the Officers of the Board of Directors for the Academic Consortium for Criminal Justice solicit funds.Plan, produce, implement, and manage major public awareness, outreach, fundraising and professional conferences as planned with the Senior Director of Operations or designee, the Director of Academic Programs or designee and the Officers of the Board of Directors for the Academic Consortium for Criminal Justice.Manage sponsorship database, sponsorship pricing and sponsorship campaigns. Work to achieve increased sponsorship annually.Assist in the process of grant submission and grant management.All OtherServes as a liaison with state partners and clients, as needed, to facilitate operational project success.Develop and maintain relationships with external clients to gain knowledge of available funding sources/awards.Delivers presentation of project results to University and state agency staff.Participates in program and business development, as assigned.Participates in performance improvement initiatives and demonstrates the use of quality improvement initiatives within operations.Provide support to the department in the development of strategic planningPerforms other duties as assigned.

Qualifications

REQUIRED EDUCATIONBachelor’s degree in Business Administration, Marketing or Communications, or equivalent relevant experienceREQUIRED WORK EXPERIENCE5 years of experience in event planning, such as public relations, marketing/advertising, communications, sales or customer support. Broad knowledge of contracting standards and practices within the event planning industry; experience with site selection and strong negotiation skills to work with vendors on pricing and contract negotiation, food and beverage planning, developing audio-visual requirements, budgeting, creating timelines and event related materials, and onsite execution.Ability to work well independently and as member of a team.Demonstrated strong project management skills such as ability to prioritize tasks, handle multiple tasks simultaneously, complete quality work on a timely basis within frequent, tight, deadlines, and to utilize effective problem resolution skills.Possess both creativity and an exceptional level of attention to detail.Proven ability to lead and direct a matrix project team, as well as the ability to lead and direct effective meetings and work sessionsExcellent written and verbal communication skills to interact effectively with staff, clients and vendor staffAbility to produce reports suitable for both an academic and a public sector audienceStrong computer skills, including word processing, spreadsheets, and PowerPoint Ability to travel to off-site locations
