Description
The Division of Diversity and Engagement is seeking a new Manager of Administrative Services to provide leadership, professional guidance, and management of all fiscal and administrative processes for the Division of Diversity and Engagement. This includes budgeting, forecasting, human resources, financial approvals and access and diversity funds.

 

The Manager of Administrative Services advises the Vice Chancellor and other members of the division regarding efficient uses of funds, and ensures that university fiscal policies and procedures are followed. In addition, this position is responsible for the management and allocation of $2.3 million in Access & Diversity funds to various units and initiative across campus, as well as maintaining data necessary for annual reports as required by THEC.

 

Please note, all financial transactions will be processed/coordinated through a partnership with the Office of Shared Services. This work includes contracts, accounting, ledger reconciliation, invoicing, travel and purchasing cards.

 

Financial

· Provides financial and managerial expertise for business operations, and management of budgetary and financial functions for the division.

· Develops and manages divisional budgets.

Administrative

· Ensures contracts follow the appropriate review process per policy and procedures.

· Maintains interface with departmental personnel to coordinate operational activities to ensure adequate space and facilities.

· Coordinates the compilation and preparation of operational and financial reports and analyses.

Human Resources

· Facilitates a variety of human resources functions.

· Manages all aspects of search processes.

Operations

· Manages the daily business operations of the division, primarily in the areas of budget, finance, and human resources.

· Develops internal procedures and guidelines for divisional activities and evaluates effectiveness making recommendations for improvements to enhance efficiency.

· Participates in the establishment and implementation of short- and long-range business goals that support the mission of the division.



Qualifications
Education/Experience

Requires a bachelor’s degree in a relevant field and five years of relevant, progressively responsible experience, or an equivalent combination of education, training, and experience. Supervisory experience preferred.

 

Knowledge, Skills and Abilities

· Knowledge of financial, operational, and administrative policies, procedures, and regulations.

· Ability to clearly and effectively communicate.

· Ability to synthesize complex financial information

· Ability to align administrative, financial, human resources, and operations of a division, with overarching goals and vision.
